About the Role
We are seeking an experienced and highly capable Practice Managerto take ownership of the day-to-day management of our busy specialist medical practice.
This is a hands-on leadership role requiring someone who is organised, commercially aware and confident managing people, systems and competing priorities. You will be a visible presence within the clinic, ensuring our administrative and clinical operations run efficiently while supporting our surgeons and staff to deliver an exceptional standard of patient care.
We are looking for a genuine self-starter who can identify issues, develop solutions and follow them through autonomously.
Working closely with our executive team and our surgeons, you will have responsibility for the daily performance of the practice while also identifying opportunities to improve workflows, patient experience and practice efficiency.
Key Responsibilities
People & Team Management
- Lead and support the clinic's administrative team, providing clear direction and day-to-day guidance
- Manage staff rostering, leave and resource requirements to ensure appropriate clinic coverage
- Manage recruitment, interviewing, onboarding and offboarding of administrative staff
- Coordinate employment documentation and other day-to-day HR matters
- Ensure staff are appropriately trained in clinic systems, processes and procedures
- Communicate operational changes and updates effectively across the team
- Coordinate staff events, team-building initiatives and workplace amenities
Practice & Clinic Operations
- Take ownership of the smooth day-to-day operation of the clinic
- Manage surgeon and clinical rosters, including consulting rooms and staff resource allocation
- Monitor and forecast appointment availability and clinic capacity
- Proactively identify scheduling, workflow and resourcing issues and implement solutions
- Oversee inventory, purchasing and stock levels across the clinic
- Manage facilities, equipment and practice systems to ensure the clinic remains fully operational
- Resolve day-to-day operational issues as they arise and provide practical support to staff and surgeons
- Identify and implement opportunities to improve clinic workflows, efficiency and patient experience
Surgeon & Clinical Staff Coordination
- Coordinate the onboarding of new surgeons, fellows and clinical staff
- Manage onboarding documentation, credentialing, insurance and compliance requirements
- Maintain accurate and current clinical staff records
- Coordinate the operational requirements associated with new surgeons and services joining the practice
- Support the successful integration and growth of new surgeons within the clinic
Finance & Practice Administration
- Oversee day-to-day accounts administration
- Coordinate payroll processing and associated administration
- Monitor budgets, expenditure and practice financial performance
- Review key clinic metrics including referrals, appointment capacity and debtors
- Prepare regular operational and financial reporting for management
Compliance & Governance
- Maintain and continuously improve clinic policies and procedures
- Manage relevant clinic insurance, indemnity and WorkCover requirements
- Ensure appropriate documentation, record keeping and compliance processes are maintained
- Support workplace health and safety, incident reporting and risk management requirements
- Maintain high standards of patient confidentiality and privacy
Practice Development & Stakeholder Relationships
- Build and maintain productive relationships with hospitals, referrers, suppliers and other key external stakeholders
- Support initiatives designed to strengthen GP and referrer relationships
- Coordinate stakeholder meetings and ensure agreed actions are implemented
- Support the introduction and ongoing management of new clinic services and initiatives
- Work with external technology and service providers to identify and implement practice efficiencies
- Support initiatives such as patient-reported outcome measures,
patient concierge services and research projects
About You
You will already have experience managing a busy medical practice, specialist clinic or comparable healthcare environment and be comfortable taking genuine ownership of its day-to-day operations.
You are someone who notices what needs to be done and gets it done. You can move confidently between managing a staffing issue, reviewing a roster, resolving a patient-flow problem, checking financials and coordinating with a surgeon or external stakeholder.
To be successful in this role, you will bring:
- Demonstrated experience in practice management, ideally within a specialist medical or surgical environment
- Strong people leadership skills and experience managing administrative teams
- Practical experience across recruitment, onboarding, performance management and general HR administration
- Strong understanding of medical practice workflows, patient scheduling and clinical resource management
- Experience with accounts, payroll administration, budgeting and financial reporting
- Confidence interpreting practice metrics and identifying operational issues or opportunities
- Experience developing and maintaining policies, procedures and compliance documentation
- Strong systems capability and confidence learning and implementing new technology
- Excellent written and verbal communication skills
- Robust judgement, discretion and professionalism when dealing with confidential or sensitive matters
- Exceptional organisation and the ability to manage multiple priorities without losing attention to detail
- A proactive, solutions-focused approach and the ability to work autonomously
Experience within orthopaedics, surgery or another specialist medical environment will be highly regarded.
