About this opportunity
The NACC has an Executive Support Officer position available for immediate filling in Brisbane, Canberra, Melbourne or Sydney. A merit list will be established to fill vacancies arising in the next 18 months.
About the role
Reporting to the General Manager Legal, the Executive Support Officer will be a central point of contact for the Legal Branch.
The successful candidate will play a critical role in supporting the General Manager to ensure the effective and efficient functioning of the Branch, and the NACC more broadly.
Your success will be characterised by your ability to provide high-quality executive and administrative support in a confidential and sensitive environment.
Key activities
- Provide executive support including the prioritisation and management of emails, coordination of schedules, diary management, all aspects of booking travel and acquittal of expenses for the General Manager Legal, organising stakeholder engagement, and by screening and attending to a broad range of enquiries and requests, including matters of a confidential or sensitive nature.
- Manage or coordinate important and sensitive projects and events for the Legal Branch, including conferences, committees and team meetings.
- Undertaking administrative tasks in support of the Operations Legal (including relating to hearings) and Corporate Legal teams, including drafting correspondence and other documents, making travel and accommodation arrangements, and filing.
- Managing requests for advice and correspondence in the Legal Inbox and responding to enquiries from internal and external stakeholders, including drafting responses and allocating requests for actioning.
- Manage and coordinate the Legal Branch workload and various compliance, knowledge management, consultation and staff processes, including relating to:
- Work and reporting trackers (updating work entries for new and completed work)
- Legal Practice Manual development and revision (coordinating preparation and revision of chapters, and monitoring progress)
- Legal staff practicing certificate renewal and law social membership (collating renewal records and maintaining certification list)
- Legal reporting requirements (tracking compliance with FOI and OLSC reporting requirements)
- Legal invoicing (assisting with processing invoices and liaising with finance regarding legal expenditure more generally and compliance with PGPA Act)
- Senate Estimates and other parliamentary processes (assisting with coordinating preparation of briefs and other materials from Legal)
- Consultations with other Commonwealth agencies (coordinating responses to requests for consultation and meetings, and monitoring action items).
- Coordinating and assisting with attendance by the GM Legal and other Legal Branch members at various committees and tracking progress and completion of subsequent action items.
- Maintain detailed knowledge of the work programmes across each Branch of the Commission. In doing this you will demonstrate leadership by encouraging new ideas and innovation, engaging positively with planning and decision-making within and beyond our work area.
- Maintaining legal records, databases and matter management systems, ensuring information is accurate and up to date.
- Build and sustain strong, positive and constructive relationships with all internal and external stakeholders, including representatives from other agencies, the Attorney-General’s Department and legal representatives.
- Manage competing priorities and organise workflow for self and others while providing detailed and accurate updates on project timelines and milestones and ensuring deadlines are met across the Branch.
- Establish, maintain and review processes and procedures to ensure ongoing efficiency and effectiveness with a focus on continuous improvement, identifying opportunities for better practice and process improvement across the Branch.
- Classification: APS Level 6

- Salary: $99,734 - $111,701 plus service allowance

The NACC is a small agency. In addition to these activities, from time to time you may be asked to undertake tasks that are outside your usual span of duties but that are within the range of your capabilities. Eligibility
- Citizenship – applicants must be an Australian Citizen.
- Security clearance – this is a Designated Security Assessment Position. The occupant of this position will be required to undergo and maintain a security clearance to Negative Vetting 1.
- Suitability assessment - the NACC must be satisfied that successful applicants are of suitable character. They must undergo a rigorous pre-employment suitability screening process that can be intrusive in nature including (but is not limited to) detailed background, character, employment, police and financial checks.
- Probation - a probation period will apply to a recent ongoing engagement in the Australian Public Service.
