- Full time –Fixed-term role to 17 December 2027, working up to 38 hours (40 hours to accrue ADO’s) per week across various IPC Health sites, with hybrid flexibility in line with IPC Health policy.
- This position is classified as Grade 4 under the Health and Allied Services, Managers and Administrative Workers (Victorian Stand-Alone Community Health Services (Multi Employer) Enterprise Agreement 2022-2026

The Opportunity
An opportunity is available for an experienced Project Officer to support the successful delivery of organisational projects at IPC Health. In this role, you will provide project coordination, governance, reporting and stakeholder engagement support to ensure project activities remain organised, aligned and progressing effectively.
You will work closely with the CEO, Manager of Service Impact, Leadership Team, Property and Facilities, consultants and business stakeholders to coordinate key project information, actions, documentation and deliverables.
This position is well suited to someone who is proactive, highly organised and confident working across multiple priorities in a delivery-focused environment. Strong attention to detail, sound judgement and clear communication will be essential to success in the role.
You will make a difference by:
- Coordinating project schedules, meetings, milestones and administrative activities to support the effective delivery of assigned projects.
- Maintaining project registers, including risks, assumptions, issues, actions, decisions and dependencies, ensuring information is accurate, current and accessible.
- Monitoring project deliverables and proactively follow up outstanding actions with relevant stakeholders to support progress against agreed timelines.
- Preparing clear and timely project status updates, briefing materials, presentations and governance reports for internal stakeholders.
- Coordinating governance forums, workshops and project meetings, including preparing agendas, documenting minutes and tracking agreed actions.
- Maintaining project documentation, templates, repositories and version control processes in line with organisational standards.
- Engaging with business owners, sponsors, internal stakeholders, technical specialists, vendors and subject-matter experts to support effective communication and project coordination.
- Maintaining Microsoft Teams, SharePoint and other collaboration platforms to support project communication, document management and stakeholder access.
- Supporting project assurance, governance, audit and compliance activities by coordinating inputs, maintaining records and meeting required timeframes.
- Assisting with procurement administration, contractor onboarding and resource coordination to support delivery of assigned project activities.
- Contribute to continuous improvement by identifying opportunities to streamline project administration, reporting and governance processes.
To be successful in this role:
- Project management qualifications and/or certifications.
- Exposure to Prince2, Agile, Scrum or other structured project methodologies.

- The passion and drive to improve the quality of life for the local community, children and families we support.
- Strong project coordination skills, excellent attention to detail and the ability to communicate effectively across technical and non-technical stakeholder groups.
- Previous exposure to opening new sites for medical, clinical, mental health and family services and/or implementing central service systems, digital transformation, technology or similarly complex project environments.
- Strong organisation and time-management skills with the ability to prioritise competing activities.
- Experience maintaining project schedules, registers and governance documentation, with strong document management, quality control and attention to detail.
- Robust written and verbal communication skills, including experience preparing reports, meeting papers, minutes, presentations and executive updates.
- Strong Microsoft 365 capability, including Teams, SharePoint, Excel, Word and PowerPoint.
- Ability to establish productive relationships with stakeholders at different levels.
- Experience facilitating change implementation strategies
- Understanding of project governance, risk and assurance processes.
- Valid Australian working rights. Sponsorship is not available for this opportunity.
