The Role
Reporting to the Pathways & Partnerships Lead, this role provides administrative, compliance and operational support for the CSBB Registered Training Organisation (RTO) within the Curriculum, Data & Pathways team.
A key focus of this role is supporting the management and ongoing implementation of the Student and Learning Management System - aXcelerate, ensuring accurate student records, compliance reporting and effective administration of VET programs across the CSBB network.
You will work closely with schools, students, external VET providers and internal stakeholders to ensure vocational education programs are delivered efficiently, compliantly and with a strong focus on student outcomes.
Key Responsibilities
- Provide day-to-day administrative support to the RTO Manager and Pathways & Partnerships team.
- Support the migration, implementation and ongoing management of training and compliance processes within the aXcelerate LMS platform.
- Assist in ensuring VET compliance requirements are met through accurate documentation, reporting and record keeping.
- Act as a key point of contact for schools and external VET providers regarding VET programs and student pathway opportunities.
- Coordinate meetings, professional learning sessions and VET-related events.
- Maintain student databases and training records, ensuring data integrity,
accuracy and timely reporting.
- Support the administration of student work placements, apprenticeships and traineeships.
- Prepare reports, documentation and communications for schools and stakeholders.
- Ensure VET resources and program materials are accessible and maintained efficiently.
- Manage confidential student and school information with professionalism and discretion.
In Addition, as a RTO Administrator You Will
- Support the successful delivery of VET and RTO programs across 43 schools.
- Assist schools in navigating vocational education requirements and student pathway opportunities.
- Support compliance with VET regulatory requirements, including ASQA, NESA and RTO obligations.
- Contribute to the administration of School-Based Apprenticeships and Traineeships (SBATs) and EVET programs.
- Help maintain accurate AVETMISS and student reporting data.
- Work collaboratively with internal teams and external stakeholders to deliver high-quality services to schools.
- Identify opportunities to improve systems, processes and administrative efficiencies.
About You
You are an organised, proactive and solutions-focused administrator with experience working in a Registered Training Organisation (RTO) environment. You thrive in a fast-paced setting, enjoy managing complex administrative processes and take pride in maintaining accuracy, compliance and exceptional stakeholder service.
Previous experience in an RTO administration role.
Demonstrated experience using aXcelerate.
Strong understanding of RTO compliance requirements and student administration processes.
Experience managing large volumes of student data with a high level of accuracy.
Strong organisational skills with the ability to manage competing priorities and consistently meet deadlines.
Advanced Microsoft Office skills, including Excel, Word, Outlook and Teams.
Solid written and verbal communication skills with a customer-focused approach.
Ability to handle sensitive and confidential information with discretion and professionalism.
Strong stakeholder engagement and relationship management skills.
Highly Desirable
- Previous experience supporting School-Based VET or EVET programs.
- Knowledge of NESA reporting requirements.
- Understanding of AVETMISS reporting.
- Experience working with secondary schools and school-based stakeholders.
- Certificate IV in Training and Assessment (TAE40122) or equivalent.
- Familiarity with apprenticeships, traineeships and vocational pathways programs.
- Knowledge of ASQA standards and compliance requirements.
- Experience working within an education, training or school-based environment.
