ABOUT THE JOB
We are seeking a motivated and detail-oriented Internship Assistant to coordinate student communications and day-to-day internship administration within our Professional Year Programs.
This role involves liaising with students and host organisations, conducting pre-placement interviews and mid-internship reviews, collecting feedback, and maintaining accurate records. You will help ensure students and host organisations receive timely information and support throughout the internship process.
This position will suit someone who enjoys working with people, communicating with diverse stakeholders, and managing structured administrative tasks.
KEY RESPONSIBILITIES
Liaise with students and host organisations regarding internship arrangements, documentation, timelines, and enquiries.
- Conduct pre-placement interviews to gather information about students’ skills, career interests, availability, and placement readiness, and record outcomes to inform placement matching.
- Communicate placement requirements and expectations to students, including required documentation and key deadlines.
- Coordinate interview bookings, placement commencement arrangements, review meetings, and follow-up communications.
- Conduct mid-internship reviews with students and host organisations, document progress and feedback, and refer concerns to the appropriate staff member.
- Distribute and follow up on student and host organisation surveys, collate responses, and summarise feedback for reporting and program improvement.
- Maintain accurate and up-to-date student and placement records, including interview notes, review outcomes, correspondence, and completion documentation.
- Prepare routine reports on placement status, student progress, survey results, and outstanding actions.
- Respond to student enquiries promptly and refer matters requiring specialist advice or further assistance to relevant teams.
- Coordinate with internal teams to ensure placement information is accurate and administrative tasks are completed on time.
- Provide general administrative support, including preparing documents, reports, scheduling meetings, and organising internship briefings and related activities.
Working days and hours: This is a full time role (38 hours per week) and includes occasional Saturday work as required.
SELECTION CRITERIA
- Demonstrated experience in administration, customer service, student services, recruitment support, or a similar role.
- Strong interpersonal skills and the ability to communicate professionally with students, employers, and colleagues from diverse backgrounds.
- Excellent organisational skills, with the ability to manage multiple tasks, follow up on outstanding matters, and meet deadlines.
- Strong attention to detail when maintaining records, preparing documentation, and compiling reports.
- Confident written and verbal communication skills, including the ability to conduct structured interviews and review conversations.
- A customer-focused approach, with sound judgement in responding to enquiries and referring concerns appropriately.
- Ability to work independently and collaboratively within a team.
- High level of computer literacy, including Microsoft 365 (Word, Excel, PowerPoint, and Teams), and the ability to learn student and placement management systems.
- Eligible to work full-time in Australia.
