About the Opportunity
Navarro & Associates Lawyers is seeking an experienced and highly organised Office Manager to oversee the day-to-day administration and operational functions of our Melbourne CBD legal practice.
This is a hands-on position working closely with management, lawyers and administrative staff. You will play an important role in ensuring the efficient operation of the office, coordinating staff and resources, managing suppliers and facilities, and supporting the firm's administrative and financial processes.
Key Responsibilities
- Manage and coordinate the day-to-day operations of the Melbourne CBD office.
- Coordinate administrative staff, allocate workloads and monitor office workflow.
- Maintain employee, leave, office and administrative records.
- Manage office facilities, equipment, supplies and maintenance requirements.
- Coordinate suppliers, contractors and external service providers.
- Maintain supplier agreements, insurance documentation and office records.
- Assist with budgeting, expenditure monitoring and general financial administration.
- Coordinate Accounts Payable and Accounts Receivable activities.
- Assist with maintaining trust accounting records, reconciliations and supporting documentation in accordance with the firm's procedures.
- Prepare financial and operational information and reports for management.
- Maintain effective administrative systems and internal controls.
- Support workplace, WHS and administrative compliance requirements.
- Review and improve office procedures and systems to increase operational efficiency.
- Maintain confidentiality of client, legal, financial, trust and employee information.
About You
You will be an organised and proactive professional who can confidently manage a broad range of office and administrative responsibilities.
You will ideally have:
- Relevant qualifications in Business, Management, Administration, Accounting, Finance or a related field, or equivalent relevant experience.
- At least one year relevant experience in office management, business administration or a similar role.
- Experience coordinating staff and administrative functions.
- Experience managing suppliers, facilities, records and office systems.
- Experience with financial administration, including Accounts Payable and Accounts Receivable.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem-solving ability.
- Proficiency in Microsoft Office and relevant accounting or administrative systems.
- The ability to manage confidential information with discretion and professionalism.
- Experience in a law firm or skilled services environment will be highly regarded.
