(Job Share)

OVERALL PURPOSE OF THE POSITION The Receptionist is the first point of contact for visitors and internal and external customers to Barker

College. As such, the Receptionist is responsible for providing professional, efficient and effective service to meet the needs of all stakeholders, through managing the front desk, answering phones,

handling enquiries and greeting visitors.

PRIMARY DUTIES & RESPONSIBILITIES

- Answer the switchboard in such a way that callers feel welcomed, valued and directed to the appropriate person.

- Receive and greet all visitors professionally, answering general questions where possible and

referring specific enquiries to other staff where appropriate.
- Ensure the ongoing tidy and professional appearance of the reception and waiting areas.
- Answer and assist parent, staff and student enquires in a pleasant and accommodating

manner.
- Coordinate the visitor register, ensuring that all visitors sign in appropriately and are given a

visitor identification badge or carry some form of visual identification that meets the School’s requirements.
- Be responsible for [email protected] email address, manage enquiries and

redistribute emails as appropriate.
- Responsible for:

o Incoming, outgoing and internal mail o Booking of and receiving courier packages o Ordering flowers and other similar duties
- Organise and manage accommodation bookings relating to the School’s property at The

Grange.
- Be responsible for preparing and organising the Head of Barker College daily Birthday Card

tradition.
- Prepare student letters as requested by the Head of Barker College (HoBC), such as general

thank you letters, Barker Big Start, etc.
- Undertake administrative tasks as directed by the Key Leaders, particularly during non-term

time.
- Assist with any enquiries relating to Secondary School student Opal card applications and

manage the approval process.
- Upon request, coordinate the booking of buses relating to student excursions, camps and

similar.
- Maintain paper and electronic files in accordance with Barker protocols and keep up to date.

People & Culture

- Have a full knowledge and understanding of emergency procedures and the School’s policies





and procedures associated with a safe work environment specifically relating to the Reception protocols.
- A full working knowledge and understanding of all relevant Barker IT systems, including the

student management platform, staff portal, and internal communication systems.
- Ensure the reception area is clean and maintained, with adequate supplies, including stationery,

paper, kitchen and hospitality items.
- Daily kitchen clean-up and re-stocking of paper in the photocopier.
- On occasion undertake overflow work from the Deputy Head People & Culture Office.

SKILLS AND KNOWLEDGE ESSENTIAL TO THE JOB

- Capacity to successfully operate a multi-line telephone system.
- Organisation and time management skills, where on occasion there are high volumes of work,

changing priorities and the need to meet critical deadlines – to remain calm under pressure.
- Provide superior customer service to staff, students, parents and members of organisations

associated with the School and portray a welcoming and helpful disposition.
- Well-developed communication skills (phone, email, written correspondence).
- Work cohesively in a team environment as well as able to work autonomously.
- Able to take initiative on occasion as required.
- Attention to detail.
- Diplomacy, discretion and tact in a professional work environment with a commitment to acting

in all matters with the strictest of confidence

SPECIAL CONDITIONS

- Prepared to undertake any additional training to complement the position
- This role requires transparent communication and cooperation between Receptionists, with

tasks in progress and any time critical work in progress, to be clearly communicated in handover documents to the other party so that there is no loss of productivity.
- This role is a part time all year round role, with the following working hours:

Hours of Work during the Term:

Receptionist 1

- 7:30AM to 12:30PM Monday to Friday

Receptionist 2

- 12:00PM to 5:00PM Monday to Friday

Hours of Work during the Term-Breaks:

- 9:00AM – 4:00PM – Monday to Friday

- Any task requiring the Receptionist to be absent from the front desk is secondary and

appropriate cover is to be arranged. When the Reception area is going to be unmanned, such as during lunch and comfort breaks, the Receptionist must communicate with other

Administration personnel to ensure a back-up person has taken responsibility for Reception.

QUALIFICATIONS

- Previous customer service experience
