About the role:
The Office of the Deputy Director-General (ODDG) is responsible for supporting the Deputy Director-General in providing leadership, strategic direction and delivery of key system support services that are safe, high quality and responsive to the health needs of Queenslanders.
As a Senior Correspondence Officer, you will be responsible for attending to administrative tasks, with a specific focus on coordinating and processing all correspondence for the Division. This role will also provide professional advice and support to CSQ staff, including the executive team, on correspondence related matters.
Your key responsibilities include:
Review and edit outgoing correspondence to ensure accurate, timely and relevant information is provided in accordance with departmental guidelines and processes.
Autonomously and proactively assign, track, and monitor all incoming and outgoing correspondenc for the Deputy Director-General and broader CSQ division.
Maintain an effective electronic document record management system (Content Manager) and manage computerised systems to implement efficient email, tasks and document tracking whilst adhering to protocols that support preparation of correspondence.
Liaise, negotiate, and consult with senior management and officers within CSQ to ensure correspondence is completed in a timely manner in accordance with agreed processes, standards, and guidelines.
Liaise with Executive Services Unit and other departmental correspondence teams by directing enquiries, responding to emails, teams' calls, and following up on correspondence.
Manage work in a complex, high pressure, high volume, environment with competing demands.
Establish and maintain professional, effective working relationships with all stakeholders including staff of the branches/business areas in CSQ, other divisions of the Department of Health, Ministerial and Executive Services Unit, Office of the Director-General and Cabinet and Parliamentary Services.
Maintain sensitivity and confidentiality during all interactions and liaisons with internal and external clients.
Review, develop, evaluate and improve Divisional correspondence systems, processes, procedures and guidelines.
Role fit:
You will have demonstrated experience managing high volumes of incoming and outgoing correspondence, including proofreading, formatting, editing and quality assurance, supported by strong written, verbal, interpersonal and negotiation skills. You will be able to communicate effectively with officers at all levels, manage competing priorities, work autonomously and collaboratively, and consistently deliver quality outcomes within required timeframes. You will have knowledge and skills in departmental information management systems, particularly Content Manager, or the ability to quickly acquire these skills.
You will also demonstrate a commitment to continuous improvement, with experience identifying and implementing changes that enhance work practices and service delivery.
