About the Role

We are seeking an experienced Senior Receptionist & PA to Director to be the welcoming face of our head office, provide hands-on support to one of our Directors, and take responsibility for the practical day-to-day coordination of the office.This is a senior reception and administration role for someone who understands that reception is about much more than answering phones and greeting visitors. You will be responsible for creating a professional first impression, managing the front-office environment and ensuring clients, consultants, contractors, suppliers and visitors receive a high level of service. A significant part of the role will be working closely and confidentially with a Director and assisting with their day-to-day responsibilities and workload. This is not primarily a traditional diary-management PA role. Instead, you will act as an extension of the Director, managing communications, drafting and responding to emails and correspondence, coordinating information, following up matters and dealing directly with tasks and requests as instructed.

You will need to be comfortable taking a brief from the Director, understanding what needs to be done and then taking ownership of getting it done. The role will involve regular communication with staff, clients, contractors, consultants, suppliers and other external parties on the Director's behalf.

You will also coordinate the office-related requirements of staff across the businesses, ensuring the office operates efficiently and that staff have the support and resources they need. As new positions arise, you will assist with recruitment, including coordinating candidates, arranging interviews and participating in the interview process.

This is a hands-on role suited to someone who is proactive, highly organised and comfortable taking responsibility. We are looking for someone who does not wait to be told every step, but can take instructions, use initiative and follow matters through to completion.

Key Responsibilities

Reception & Front Office

- Be the first point of contact for clients, consultants, contractors, suppliers and visitors.
- Manage incoming calls, emails and enquiries professionally and efficiently.
- Welcome visitors and maintain a professional, well-presented reception and office environment.
- Coordinate meetings, appointments,



visitors and associated requirements.
- Ensure reception and front-office operations run smoothly throughout the day.
- Assist with general office coordination and administration as required.

PA Support to the Director

- Provide confidential, hands-on support to the Director across their day-to-day responsibilities.
- Manage and coordinate communications on the Director's behalf, including drafting emails, correspondence and other communications.
- Prepare responses and documents from the Director's instructions and follow matters through to completion.
- Liaise with staff, clients, contractors, consultants, suppliers and other external parties on behalf of the Director.
- Take instructions from the Director and independently coordinate the required follow-up and actions.
- Monitor outstanding matters and ensure important tasks, communications and commitments are followed up.
- Prepare information, documents and correspondence required by the Director.
- Coordinate meetings and assist with the preparation of relevant information and materials.
- Assist the Director with a wide range of day-to-day administrative and business matters as required.
- Handle confidential and sensitive information with a high level of discretion.
- Manage competing priorities and ensure the Director's requests are dealt with promptly and accurately.

Staff & Office Coordination

- Coordinate the day-to-day office requirements of staff whose primary roles sit across the businesses.
- Ensure staff have the information, equipment, resources and administrative support required to perform their roles effectively.
- Coordinate office-related tasks, priorities and requirements across the team.
- Assist with onboarding new staff and coordinating their office and administrative requirements.
- Assist with recruitment as new positions arise, including coordinating applicants, arranging interviews and participating in interviews.
- Provide practical support and guidance to staff on office and administrative matters.
- Help maintain a skilled, organised and productive office environment.

General Office Administration

- Provide administration support across the group's property-related businesses.
- Assist with invoice processing, purchase orders, supplier records and general accounts administration.
- Manage company credit card administration and assist with basic financial and administrative tasks.
- Maintain accurate records, contracts, permits, project documentation and business files.
- Maintain office systems, procedures and administration processes.
- Coordinate office supplies,



equipment and general office requirements.
- Assist with other administrative and operational tasks as required.

About You

You are an experienced reception and administration professional who enjoys being the first point of contact for a business but is also capable of taking on significant responsibility beyond the reception desk. You will be someone who is confident dealing directly with a Director, understands instructions quickly, communicates professionally and takes ownership of getting things done.

Ideally, you will have:

- 10+ years' experience in reception, administration, PA support, executive support or office coordination.
- Strong experience working closely with a Director, business owner or senior executive.
- Excellent written English and the ability to draft transparent, professional emails and correspondence.
- Strong communication skills and confidence dealing with clients, contractors, consultants, suppliers and staff.
- Experience coordinating or supervising staff and assisting with recruitment and interviews.
- Experience working in property, construction or another fast-paced professional services environment will be highly regarded.
- Strong organisational skills and exceptional attention to detail.
- The ability to manage multiple priorities and follow matters through to completion.
- The confidence to work independently, take initiative and anticipate what needs to be done.
- Professional presentation and a naturally helpful, service-oriented approach.
- Solid Microsoft Office skills, particularly Word, Excel and Outlook.
- Experience with Xero, MYOB or similar accounting software will be highly regarded.

Most importantly, you will be practical, reliable and proactive. You will be someone who sees a task that needs to be done and takes responsibility for getting it done, rather than waiting for someone else to take ownership.
