The Role
Our client currently has an exciting opportunity for a Projects & Contracts Administrator to join their Project Management Team.
This is an excellent opportunity for a Junior Contracts Administrator, Project Administrator, or Engineering / Construction Management graduate who has gained a couple of years' practical experience and is looking to build a long-term career in Project Management.
Working across both the office and project sites, you will be involved in the commercial and contractual administration of a range of Remedial Building projects across the Greater Sydney Area.
You will work closely with experienced Project Managers and the wider construction team, gaining exposure to procurement, subcontractor management, progress claims, variations, project costs, contract administration and project closeout.
For the right person, this role provides a genuine career pathway into a Junior Project Manager and ultimately Project Manager position.

Role Responsibilities
Procurement & Subcontractor Management
- Prepare and issue trade tender packages.
- Assist with trade negotiations, scope comparisons and cost evaluations.
- Assist with drafting, executing and tracking subcontractor agreements and detailed scopes of work.
- Assist with managing subcontractor procurement and engagement throughout projects.
Financial Management & Progress Claims
- Prepare and submit monthly Head Contract progress claims through Procore.
- Assess and assist with negotiating and certifying monthly subcontractor payment claims.
- Manage project retentions.
- Assist with monthly project cost forecasting, budget variance tracking and cash flow reporting.
- Track project changes and assist with Gantt chart updates.
Variation Management
- Identify latent conditions, additional works and expanded project scopes.
- Assist with costing, preparing and submitting Head Contract variation requests for client approval.
- Review, negotiate and issue variation approvals or rejections to subcontractors.
- Maintain accurate Variation Registers for both Head Contracts and subcontracts.
Contract Administration
- Review Head Contracts and assist in identifying key commercial risks, milestone deadlines and Liquidated Damages clauses.
- Track subcontractor compliance documentation including Public Liability, Workers' Compensation, trade licences and SWMS.
- Manage Build Pass requirements.
- Assist with preparing and issuing formal contractual notices, including Extensions of Time (EOTs), delay notices and notices of Practical Completion.
Project Handover & Closeout
- Assist with assembling final project handover packages, including waterproofing warranties, structural certificates, engineering sign-offs and O&M; manuals.
- Assist with managing the Defects Liability Period (DLP), tracking defect notifications and coordinating subcontractor revisits.
- Assist with finalising Head Contract and subcontractor final accounts and closing out project finances in Procore.
What are we looking for?
- 2+ years' experience in a Contracts Administration, Project Administration, Site Administration or similar construction role completing the above responsibilities.
- Alternatively, an Engineering or Construction Management graduate with a couple of years' practical construction industry experience.
- Ideally, experience working for a remedial builder or building refurbishment or insurance building company, rather than client-side or consultancy-side experience.
- A genuine interest in developing a career in Project Management.
- Strong communication and organisational skills.
- Good understanding of construction processes, subcontractor management and project documentation.
- Ability to read and understand construction drawings, specifications and scopes of work.
- Strong attention to detail and commercial awareness.
- Experience with Procore would be advantageous but is not essential.
- A construction-related tertiary qualification in Engineering or Construction Management.
- Full Australian working rights - only considering applicants who are Australian Citizens or Australian Permanent Residents.
