Job Description
Key responsibilities
n
Manage multiple large-scale events simultaneously, each at different stages of planning and production
n
Develop and manage complete event timelines, critical paths and production schedules
n
Create detailed event plans, run sheets, floor plans, schedules and operational documents
n
Coordinate venues and maintain communication with venue management
n
Plan event layouts, competition areas, warm-up areas, merchandise, registration, awards and other operational spaces
n
Coordinate production requirements including staging, audio visual, lighting, equipment, signage and event infrastructure
n
Manage suppliers, contractors and external service providers; obtain quotes, coordinate bookings and monitor expenditure against budgets
n
Identify staffing requirements, recruit and coordinate casual/event staff, create staff allocations and detailed event rosters
n
Communicate event information, call times, responsibilities and expectations to staff; coordinate staff travel and accommodation
n
Lead staff briefings, manage the event team onsite,



coordinate bump-in and setup, manage live event operations and troubleshoot issues
n
About you
n
Experience managing or producing large-scale events
n
Demonstrated experience taking events from initial planning through to onsite delivery and post-event review
n
Strong experience managing event staff, contractors and suppliers
n
Excellent project and time management skills
n
Ability to manage multiple events and competing deadlines simultaneously
n
Robust budgeting and cost-management skills
n
Confidence leading teams and holding people accountable to deadlines
n
Strong attention to detail and ability to remain calm and make quick decisions when things change onsite
n
Proactive approach, strong computer and administration skills, and willingness to travel interstate regularly for events
n
