Water Built is seeking a
Project Administrator
to join our team on a
full time basis
at our Burleigh Heads, Queensland office. In this pivotal role, you will provide essential administrative and organisational support to our project teams, ensuring smooth operations and timely delivery of our projects. This position is fundamental to maintaining the efficiency and coordination of our various initiatives, serving as a key point of contact for internal teams and external stakeholders.
What you'll be doing
Coordinating project schedules, timelines and milestones to ensure all deliverables are met on time
Maintaining comprehensive project documentation, records and filing systems in both physical and digital formats
Scheduling meetings, preparing agendas and distributing minutes to project stakeholders
Liaising between project managers, team members and external partners to facilitate communication and resolve issues
Preparing project reports, presentations and correspondence for management review
Managing project budgets, purchase orders and expense tracking in collaboration with finance teams
Maintaining and updating project management systems and databases
Organising project resources, equipment and facilities as required
Supporting the onboarding and coordination of project team members
What we're looking for
Proven experience as a Project Administrator or in a similar administrative support role within a project-based environment
Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously
Excellent written and verbal communication skills for liaising with diverse stakeholders
Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook




Familiarity with project management software and tools
Demonstrated ability to maintain accurate records and manage complex documentation
Attention to detail and commitment to producing high-quality work
Proactive problem-solving approach and ability to work independently as well as within a team
High level of discretion and professionalism when handling sensitive information
Desirable: Experience within the construction, engineering or water industry sectors
