Job Description
NORTHSIX is partnering with an established business that provides essential equipment sales, service and support to industrial and commercial customers across Melbourne.
This is an opportunity to join a supportive service team as a Service Scheduler, balancing urgent, reactive work with planned scheduling in a business where things can change direction fast.
The Role
Reporting to the Department Leader, you will manage the daily scheduling and coordination of a technician team, handling both urgent customer callouts and planned maintenance or upgrade work.
You will be the point of contact, in a team of 5, who keeps everything moving, prioritising what needs to happen now against what is planned for later, and coordinating external contractors, technicians and third-party trades to get every job resourced correctly.
Key Responsibilities
Manage inbound requests from customers who need urgent support, and schedule these as a priority against planned work
Schedule and coordinate periodical maintenance and equipment upgrade work alongside reactive callouts
Coordinate technicians, external contractors and third party trades and vendors to ensure every job is resourced and ready to go
Communicate directly with customers to manage expectations, provide updates and resolve enquiries
Allocate the right resource to each job, minimising travel time and maximising technician utilisation
Prepare technicians with the information,



work instructions and documentation needed to complete jobs in a single visit wherever possible
Escalate complex technical, warranty or commercial matters to the Department Leader
Maintain accurate data across scheduling and CRM systems to support reporting and decision making
Identify and flag new business opportunities to the sales team
About You
Experience in a fast-paced scheduling, dispatch or coordination role, ideally from an industry where priorities can shift quickly and response times matter
Comfortable managing urgent, reactive work alongside planned scheduling, and able to stay calm and think clearly when priorities change without notice
Confident coordinating multiple external parties at once, including technicians, contractors and vendors
A robust communicator who builds trust quickly with customers, colleagues and third parties
Sound judgement on when to push forward and when to elevate
Proficient across business systems, CRM and scheduling platforms
A minimum of 2 years experience in scheduling, dispatch, administration or customer service.
Background from a time critical or priority service environment, such as utilities, emergency or essential services, trades dispatch or field service coordination, is highly regarded
Full time position, Monday to Friday, standard business hours, with a monthly RDO
