Key responsibilities
Manage complex diary schedules and appointment systems for multiple practitioners, optimising clinic flow and patient experience
Prepare and maintain comprehensive medical records, ensuring accuracy, confidentiality and compliance with healthcare regulations
Coordinate patient communications including appointment confirmations, follow-ups and administrative correspondence
Draft and format clinical correspondence, reports and documentation with precision and attention to detail
Process and manage referrals, pathology requests and imaging orders in a timely manner
Oversee administrative workflows and supervise junior administrative staff as required
Liaise between practitioners, patients, allied health professionals and external healthcare providers
Maintain confidentiality and manage sensitive patient information in accordance with privacy legislation
Manage incoming calls, enquiries and general reception duties with professionalism and empathy
Support the practice manager with administrative projects and initiatives to improve clinic operations
What we're looking for
Minimum 5+ years' experience as a medical secretary or in a similar healthcare administrative role
Proven experience working in a medical practice or clinical environment, ideally in gynaecology or women's health
Advanced proficiency with medical practice management software and Microsoft Office applications
Exceptional organisational skills with the ability to manage multiple priorities and meet tight deadlines
Strong written and verbal communication skills with a professional and courteous manner
Thorough understanding of medical terminology, clinical procedures and healthcare compliance requirements
Ability to maintain strict confidentiality and handle sensitive patient information with discretion
Demonstrated leadership qualities and ability to mentor junior staff members
Excellent attention to detail and commitment to accuracy in all administrative tasks
Current knowledge of relevant privacy legislation and medical record management standards
Preferably VCE or equivalent qualification; certification in medical secretarial practice is highly valued
