The Accounts & Office Administrator is responsible for the accurate, timely administration of Agile Designer Homes' finances — managing debtors and creditors, processing invoices and progress claims, reconciling bank statements, and maintaining compliance across the company's financial records in Xero.
This is primarily a bookkeeping and financial administration role, central to Agile Designer Homes' commitment to transparency and to keeping every project's numbers accurate and every supplier and client payment on track.
Alongside financial administration, the role provides light remote administrative support — maintaining digital records and supplies, and acting as a qualified point of contact for calls and enquiries.
Key responsibilities
Process supplier and subcontractor invoices; manage the accounts payable run and payment scheduling
Reconcile supplier statements and resolve discrepancies promptly
Manage debtor follow-up — track outstanding client payments and elevate overdue accounts
Issue client invoices and progress claims in Xero as instructed by the Project Manager
Process payroll for the small internal team — wages, leave accrual/entitlements, and superannuation — via Xero each pay cycle
Reconcile bank statements and accounts in Xero on a regular basis
Compile and prepare quarterly BAS statements for review and lodgement
Order office and site supplies, stationery, and equipment online as needed




Answer and direct incoming calls and general email enquiries
Maintain organised, up-to-date digital records and systems
About you
Accounting administration, bookkeeping, or accounts-focused office experience, ideally with formal study or a qualification in accounting/bookkeeping (e.g. Cert IV in Bookkeeping/Accounting)
Demonstrated hands‐on experience using Xero for invoicing, accounts payable/receivable, and bank reconciliation
Proven experience managing accounts receivable and payable, including debtor follow‐up and supplier payment processing
Experience reconciling bank statements and compiling/preparing BAS statements and other compliance reporting
Experience processing payroll for a small team, including STP, superannuation, and leave entitlements
Minimum 2–3 years' experience in a bookkeeping or accounts administration role
Proven ability to manage multiple tasks, deadlines, and priorities with high attention to detail and accuracy
Ability to handle confidential financial information appropriately
Prior experience in the residential building or construction industry (desirable)
Familiarity with domestic building contracts and progress claim structures (desirable)
