About the role:
As a Secretariat Support Officer, you will be responsible for assisting the Principal Secretariat Officer in managing all aspects of the secretariat functions (e.g. proactively managing agendas/forward plans, setting priorities, managing multiple tasks, achieving results within tight deadlines) for meetings and other forums established to support senior executive officers, the Director-General and Minister.
Key responsibilities include:
- Assist the Principal Secretariat Officer to coordinate and undertake secretariat duties for meetings and other forums established to support senior executives, the Director-General and Minister for Health and Ambulance Services.
- Assist the Principal Secretariat Officer to review and revise briefing materials through the application of sound editorial skills.
- Assist in managing and preparing briefing notes and correspondence within tight time constraints, including proactively managing the preparation and coordination of these documents.
- Assist the Principal Secretariat Officer in providing professional and timely advice and assistance to key stakeholders on matters relating to Secretariat processes.
- Coordinate and assist with the delivery of training sessions and development of resource materials to support officers across the Health portfolio in relation to Secretariat processes.
- Coordinate the tracking, storage, handling and dissemination of information in relation to the Secretariat processes in compliance with relevant guidelines and procedures.
- Establish and maintain effective working relationships with officers across the Queensland Health system.
- Maintain sensitivity and confidentiality during interactions with officers across the Queensland Health system and other agencies.
- High level knowledge of and experience in using a variety of information technology programs, including SharePoint, Microsoft Office, Microsoft Teams, and an electronic document records management system (eDRMS) such as Content Manager.

You will bring strong organisational and planning skills, with the ability to manage multiple secretariat activities, competing priorities and tight deadlines while adapting to emerging needs. You will have excellent attention to detail, research and problem-solving skills, and experience preparing and reviewing high-quality briefing materials in line with relevant procedures. Strong communication and interpersonal skills are essential, along with the ability to build effective relationships across the Queensland Health system. You will work collaboratively as part of a team and demonstrate discretion, professionalism and integrity when providing advice at all levels.
