Our client is seeking an experienced Executive Assistant to join their team on a permanent basis. This is a pivotal role supporting the Director and broader leadership team, providing high-level administrative, organizational and operational support across the business.
You’ll be someone who can stay one step ahead, manage competing priorities and take ownership of tasks without needing to be constantly directed. This is more than a traditional administration position — the successful candidate will become a trusted support to the Director, helping keep the business organized, efficient and moving forward.
The role offers a salary that is rewarding depending on the right candidate, with flexibility around start and finish times when required. There is also genuine opportunity to take on increased responsibility and develop into a broader Support function as the business continues to grow.
About the Role
- Provide high-level administrative and executive support to the Director and leadership team
- Act as a key point of contact for clients, candidates, suppliers and internal stakeholders
- Manage incoming calls, emails, enquiries and correspondence professionally and efficiently
- Coordinate meetings, appointments, diaries and follow-ups
- Prepare documents, reports, correspondence and other business information as required
- Assist with tender administration, project setup, scheduling and coordination
- Keep track of actions, deadlines and outstanding items, ensuring nothing falls through the cracks
- Proactively identify what needs to be done and take ownership without waiting to be asked
- Support the Director with day-to-day business administration and operational priorities
- Maintain accurate records and ensure information is organized and easily accessible
- Work closely with the wider team to improve systems, processes and overall efficiency
About You
- Previous experience as an Executive Assistant, Personal Assistant, Senior Administrator or Office Manager
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and remain calm under pressure
- Excellent written and verbal communication skills
- Professional and confident phone manner
- Highly proactive — you naturally anticipate what needs to happen next
- Robust follow-through and accountability; you see tasks through to completion
- Discreet and trustworthy when dealing with confidential business and personal information
- Mature, professional approach with the confidence to work directly with senior management
- Comfortable working autonomously while also supporting a broader team
- Strong computer skills and the ability to quickly learn new systems
Systems & Experience
- Experience with job management, CRM or project management systems is advantageous
- Familiarity with Xero or other accounting software is beneficial
- Experience within construction, trades, property, professional services or another fast-paced business environment would be highly regarded
- Previous PA or Executive Assistant experience supporting a business owner or Director will be highly valued
