The Data Entry Clerk is responsible for accurately reviewing, entering, updating and maintaining operational and administrative records. This role supports workshop, finance and management teams by ensuring information is correct, timely and available for reporting and decision-making.
Role Summary
The Data Entry Clerk is responsible for accurately reviewing, entering, updating and maintaining operational and administrative records. This role supports workshop, finance and management teams by ensuring information is correct, timely and available for reporting and decision-making.
Key Responsibilities
- Review mechanics' timesheets daily and ensure all entries are accurate, complete and correctly recorded.
- Review job cards daily and move outstanding work to new cards as required to ensure work records remain current.
- Liaise with Finance to ensure invoices are processed in a timely manner.
- Follow up outstanding purchase orders with external suppliers and update relevant records accordingly.
- Prepare and provide accurate reports and updates to management as required.
- Enter, maintain and update information in company systems, spreadsheets and databases with a high level of accuracy.
- Check source documents, job cards, invoices and purchase order details for errors,
missing information or inconsistencies.
- Maintain organised electronic and physical records to support easy retrieval and audit requirements.
- Communicate with internal teams and external suppliers to clarify information and resolve data or documentation issues.
- Handle operational and financial information confidentially and in line with company procedures.
Skills and Attributes
- Strong attention to detail and accuracy.
- Good computer skills, including experience using Microsoft Excel, Word and Email.
- Excellent organisation and time management skills.
- Ability to prioritise daily tasks and meet deadlines.
- Explicit written and verbal communication skills.
- Ability to work independently and as part of a team.
- Reliable, professional and able to handle confidential information appropriately.
Experience and Qualifications
- Previous experience in data entry, administration, accounts support or a similar clerical role is preferred.
- Experience working with timesheets, job cards, invoices or purchase orders will be highly regarded.
- Ability to learn company systems and follow established procedures.
- High level of accuracy when entering and checking data.
