Job Description
All Data and Communications - Port Of Brisbane QLD
n
Reporting to the State Manager, with close support from the CFO, and working day-to-day alongside Project Managers, you'll be the administrative backbone of project delivery. You'll look after the contracts, claims, procurement, QA and compliance administration that keeps projects on track – so PMs can stay focused on delivery. This is a hands-on, full-time role (38 hours per week), predominantly based at the Port of Brisbane site office, with the flexibility to visit the Northside office as needed.

Key responsibilities
n
n
- Setting up jobs and quotes in simPRO with the correct client, cost centre, scope and filing structure
n
- Preparing and submitting progress claims, invoices and retention claims – including statutory declarations and supporting certificates
n
- Managing RFIs, variations and contract correspondence, and keeping registers and trackers current
n
- Raising purchase orders and work orders, and receipting supplier invoices against them
n
- Comparing supplier pricing and ordering materials as requested by PMs
n
- Reviewing job costs, cost-to-complete and P&L; reports with PMs, and supporting month-end reconciliation to Xero
n
- Checking day works and labour records against the simPRO schedule ahead of payroll
n
- Verifying subcontractor and supplier compliance – licences, SWMS, insurances and inductions – before anyone steps on site or a PO is issued
n
- Coordinating employee and contractor inductions through client systems and portals
n
- Preparing and maintaining ITPs and ITRs, QA reporting and project handover packages

About you
n
n
- simPRO experience
n
- Administration experience in construction, trades or a related industry
n
- Confidence with contract documentation, progress claims, variations and retentions
n
- Strong Excel skills and a high level of attention to detail and data accuracy
n
- Robust organisation and communication skills – you'll liaise daily with PMs, site crews, subcontractors and clients
n
- Xero or similar accounting software experience (highly regarded)
n
- QA document control (ITPs/ITRs) or WHS compliance administration experience (highly regarded)
n
- Experience with client compliance and induction portals such as HammerTech or CM3 (highly regarded)
n
- A background in electrical, data or communications contracting (highly regarded)
