Job Description

CFM Air Conditioning provides commercial and industrial HVAC services across Victoria. We're looking for a practical, organised, multi-skilled person to manage service quoting, customer enquiries, purchasing and spare parts coordination.

Based at our Hallam office and warehouse, this diverse internal role requires no customer site visits.

About the role

n

Prepare and follow up repair and maintenance quotes using technician reports and supplier pricing.

n

Manage customer accounts and enquiries, provide updates and identify additional service opportunities.

n

Assist with maintenance proposals, renewals and tender submissions.

n

Source parts, compare supplier pricing, raise purchase orders and track deliveries.

n

Keep warehouse spare parts organised and maintain accurate stock records and inventory levels.

n

Coordinate warehouse and technician van stocktakes, establish stock requirements and arrange replenishment.

n

Work with technicians and scheduling staff to ensure parts are available when needed.

n

Maintain accurate quoting, customer,



purchasing and inventory records in Simpro.

About you

n

Experience in a trade-based business, ideally HVAC, refrigeration, electrical, plumbing or mechanical services.

n

A background in estimating, internal sales, service coordination or spare parts.

n

Practical experience with purchasing, supplier management, inventory control and stocktakes.

n

Strong communication skills, attention to detail and an understanding of pricing and margins.

n

The ability to manage competing priorities, work independently and follow tasks through to completion.

n

Confidence using Microsoft Office and CRM or job management software. Simpro experience and familiarity with AI tools that improve everyday workflows are highly regarded.

n

HVAC technical knowledge or a trade background would be an advantage.
