Job Description
n
Role until 30 June 2028. 18 hours per week, Monday-Friday, with exact days and start and finish times to be decided in collaboration with the successful applicant.
n
Key Responsibilities and Functions
n
n
- To provide administrative support duties for the Recovery and Resilience team.
n
- Support the Coordinator and other officers to enable effective time management and prioritisation of workloads.
n
- Provide administrative support with the planning, coordination and delivery of recovery and resilience events, including bookings, logistics, promotional materials and liaison with event organisers and stakeholders
n
- To maintain records and provide timely production of reports for Council and State Government
n
- To provide an effective customer service and point of contact for fire affected and general enquiries and receive, assess and initiate action on inquiries and requests.
n
- Assist in the management and maintenance of databases and websites
n
- Respond to routine correspondence on behalf of the Coordinator and undertake follow-up action on outstanding correspondence or reports.
n
- Prepare for, attend and take minutes and notes of meetings as required.
n
- Support the team in achieving the Post Event Recovery Action Plan actions and objectives of other relevant Council plans and strategies.
n
- Assist in monitoring of unit budgets and preparation of financial payments and reporting.
n
- Assist in administration of Community Grant Proposals and assist community organisations and groups where required.
n
- Assist in the preparation and distribution of the community recovery newsletter
n
- Assist and monitor the Recovery email account and respond or coordinate timely responses
n
- Assist with recovery and resilience events, activities and programs,
n
n
At times there will be a requirement to work after hours and on weekends to assist with events and programs the Recovery and Resilience team will deliver.
n
Desired Skills and Experience
n
n
- Relevant experience in an administration/reception
n
- An understanding of services provided by Council's Recovery and Resilience Department.
n
- Highly developed computer skills and ability to support other Council Officers in IT systems.
n
- Excellent communication (oral and written) and interpersonal skills including the ability to communicate effectively with the public by displaying a high commitment to customer service skills.
n
- Demonstrated aptitude to resolve problems and think critically.
n
n
Essential qualifications and experience
n
n
- Relevant and demonstrable experience in a previous Administration/ Reception role.
n
- Demonstrated strong customer service and IT Skills.
n
n
Desirable qualifications and experience
n
Knowledge and understanding of the local government operating setting and the delivery of services.
