This is a genuinely diverse role that sits at the heart of the business. You'll own the roster across our home care clients, run the day-to-day administration of the office, and provide direct PA support to the Managing Director.

n

You'll report directly to the Managing Director and work closely with our Area Manager and Clinical Nurse Consultant.

n

This is a permanent part‐time position, working on a hybrid basis between our Chatswood head office and home. Because our sites run 24/7, the role includes after‐hours availability on a rotating basis to handle urgent roster changes and shift cover by phone.

n

What you'll be doing

n

Rostering

n

Build, publish and maintain rosters across multiple sites, matching staff skills and competencies to each participant's support needs

n

Manage shift swaps, sick leave, vacancies and last‐minute cover, keeping every shift filled with the right person

n

Provide after‐hours phone support on a rotating basis for urgent shift gaps and staff call‐outs

n

Ensure rosters comply with the SCHADS Award - minimum engagements, breaks, sleepovers, broken shifts and overtime

n

Maintain staff availability, leave and compliance records (NDIS Worker Screening, First Aid, mandatory training expiries)

n

Reconcile timesheets against rosters each fortnight to support payroll and NDIS claiming

n

Administration

n

Run the office day to day - shared inbox, phones, supplies, filing and general enquiries

n

Coordinate staff onboarding paperwork, participant service agreements and intake documentation

n





Keep participant and staff master data accurate across our systems (Monday.com, rostering software, Microsoft 365)

n

Support audit and compliance readiness by keeping documentation current and well organised

n

PA support to the Managing Director

n

Manage the MD's diary, inbox and meeting logistics

n

Prepare correspondence, reports and presentations

n

Track action items and follow up across the team so nothing falls through the cracks

n

Handle confidential matters with discretion

n

About you

n

2+ years' experience in rostering or scheduling within NDIS, disability, aged care or healthcare

n

Working knowledge of the SCHADS Award and how it drives roster decisions

n

Experience with rostering/client management software - you pick up new systems quickly

n

Confident with Microsoft 365, particularly Excel and Outlook

n

Calm and decisive under pressure -

n

Able to be on call after hours on a rotating basis and respond promptly to urgent roster issues

n

Excellent written communication and a professional phone manner

n

Highly organised with strong attention to detail

n

Discreet and trustworthy - you'll be handling sensitive participant and business information

n

Current NDIS Worker Screening Check (or willingness to obtain) and full Australian working rights

n
