About the Role

We're looking for a highly organised and detail-focused Compliance & Quality Coordinator to keep our Educators, Nannies, and clients compliant, supported, and in line with regulatory and quality standards.
This is a hands-on role focused on monitoring, checking, and following up. You'll work from established compliance frameworks, guidelines, and checklists to make sure every Educator, family, and educational program meets the required standards, and that nothing is missed or left overdue.
You'll also support client and Educator engagement through check-ins, surveys, webinars, a podcast, and live events.

Key Responsibilities
Employee & PRODA Compliance

- Monitor Educator and Nanny compliance, including WWCC, police checks, first aid, and CPR
- Ensure all PRODA compliance requirements are complete and current for every team member
- Track expiry dates and follow up on renewals before they lapse
- Maintain accurate compliance records and reporting

Daily Monitoring & Risk Management

- Monitor daily checks and daily sleep logs
- Review and monitor risk management plans
- Flag missing, incomplete, or overdue documentation and follow up until resolved
- Coordinate and operate 6-monthly emergency rehearsal drills

Educational Programming Compliance

- Check that educational programming is complete and submitted on time
- Review programming content for alignment with ACECQA and IHC guidelines and the FMP
- Provide feedback on educational planning




- Suggest resources and activities to support programming quality
- Ensure clients and Educators are meeting ACECQA and IHC guidelines

Educator & Client Check-Ins

- Conduct quarterly wellbeing check-ins with Educators and Nannies
- Conduct client check-ins and gather feedback
- Run exit surveys for both clients and staff
- Record feedback and report trends to the team

Audit Support

- Provide information and documentation for audits when required
- Keep compliance records organised and audit-ready

Webinars, Podcast & Events

- Set up and coordinate webinars
- Set up and coordinate podcast episodes
- Organise live events, twice per year

What We're Looking For

- Experience in a compliance, administration, or coordination role
- Working knowledge of compliance requirements such as WWCC, police checks, and first aid or CPR certification
- Strong attention to detail and accuracy
- Experience monitoring records, checklists, and deadlines across multiple people
- Excellent written and verbal English communication skills
- Strong organisational and time management skills
- Ability to manage competing priorities independently
- Confident communicator, comfortable giving feedback and following up with Educators, families, and stakeholders

Technical Skills

- Microsoft Office and Google Workspace
- Compliance tracking and record management
- Survey and feedback tools
- Webinar and video conferencing platforms
- ChatGPT, Claude, or other AI productivity tools

Highly Desirable

- Experience in early childhood education, childcare, nanny or in-home care, or a related regulated sector
- Knowledge of ACECQA guidelines and the National Quality Framework
- Familiarity with PRODA
- Experience supporting audits
- Experience organising webinars, podcasts,



or events
- Experience working with Australian businesses

What Success Looks Like
Within your first 90 days, you'll:

- Have all Educator and Nanny compliance and PRODA records reviewed and current
- Run daily check, sleep log, and risk management plan monitoring consistently
- Complete the first round of Educator check-ins and client feedback
- Deliver educational programming reviews with clear feedback
- Be audit-ready with organised compliance records
- Support your first webinar, podcast, or event

Success in this role is measured by compliance accuracy, timely follow-up, attention to detail, and your ability to keep multiple monitoring and admin processes on track without constant direction.
