safe, and memorable event experiences across the Northern Territory. TENT is seeking an Event Coordinator to contribute directly and indirectly to the
delivery of the major events portfolio of Tourism and Events NT. This role plays a key operational support function across the planning, delivery, and pack-
down phases of major events. The individual will work with a high degree of independence under general direction, contributing to on-site coordination,
contractor management, WHS compliance, and stakeholder support.
Key duties and responsibilities
1. Work with the team, stakeholders, suppliers, contractors and delivery partners to prepare event plans, schedules and operational documentation, and
coordinate event builds, bump-in and bump-out.
2. Coordinate and oversee allocated areas of event operations under general direction from Event Leads and Senior Event Managers, including liaison
with stakeholders within event control during live operations.
3. Coordinate the installation, maintenance and removal of event signage, branding and wayfinding, and conduct site inspections to ensure presentation
meets operational, safety, accessibility and branding requirements.
4. Coordinate event activations, exhibitor zones, stallholders and merchandisers, acting as the on-site point of contact for activation partners and
commercial operators throughout delivery.
5. Liaise with contractors and suppliers to deliver agreed outcomes, performance measures and milestones, raising and tracking work orders and
monitoring compliance with site rules, schedules and WHS requirements.
6. Facilitate operational functions including traffic management, cleaning and waste, security, transport and logistics, monitoring site access, vehicle
movements and operational zones to support safe and efficient delivery.
7. Coordinate paid and volunteer workforce activities on site, including inductions, briefings and task allocation, and delegate workflow to team members
and volunteers where applicable.
8. Support the delivery of positive spectator and participant experiences, including information services, accessibility support and crowd movement,
resolving or escalating customer service issues using sound judgement.
9. Provide operational and administrative support to the ticketing and accreditation functions, including complimentary and hospitality ticketing,
contractor communication, and accreditation production and distribution.
10. Promote and apply TENT's risk management and WHS policies and procedures, supporting site safety inspections, hazard identification, incident
reporting and implementation of WHS controls in line with relevant legislation and codes of practice.
11. Engage with city, venue,
partner and event stakeholders and represent TENT at engagements as required, working flexibly across the Events portfolio
in a fast-paced workplace and undertaking other duties that support TENT's goals.
Selection criteria
Essential
1. Demonstrated experience coordinating the operational delivery of major events, venues or projects, including event operations, build and bump-out
across a diverse event portfolio.
2. Demonstrated ability to liaise with and coordinate contractors, suppliers, stallholders and delivery partners to achieve agreed outcomes, schedules and
standards.
3. Proven ability to exercise sound judgement, solve problems and remain productive and professional under pressure in a fast-paced live event
environment.
4. Strong interpersonal, oral and written communication skills, including proven customer service experience working with the public and a range of
stakeholders.
5. Demonstrated understanding of and commitment to work health and safety and risk management in an event or venue setting, including hazard
identification, incident reporting and contractor compliance.
6. Proven administrative and organisational skills, including accurate record keeping, and the ability to quickly adapt to new software and project
management systems.
7. Ability to work effectively as part of a team while taking responsibility for allocated work, including the capacity to direct and support staff and
volunteers on site.
8. Ability to work outside normal working hours including public holidays and weekends where required.
9. Current valid driver’s licence.
10. Sound knowledge and understanding of the Northern Territory and its events industry.
Desirable
1. Experience using Monday.com or a comparable project management platform.
2. Experience using Mitti / SafetyCulture as a safety management system.
3. Knowledge of event accreditation, ticketing or access control systems.

Event season tasks are included in the Key Duties and Responsibilities for this position. It is important to note that the Event Coordinator is expected to
take a hands-on approach during the bump-in, delivery and bump-out phases of the event. This will require the Event Coordinator to be able to work on-
site and outside of office hours including weekends and public holidays where required. This role may require intra-territory travel from time to time.
