Dental Practice Manager

Full-Time | Growing Modern Dental Practice

We are a modern and growing dental practice established approximately two years ago, and we are looking for an organised, energetic and hands-on Dental Practice Manager to join our team.

This is a varied role suited to someone who enjoys working with people, managing day-to-day operations and helping a growing practice develop solid systems and a positive team culture.

We are looking for someone who is comfortable taking ownership of practice operations while also being willing to assist at reception or in the clinical area when required.

Key Responsibilities
Practice Management

- Oversee the day-to-day operations of the dental practice.

- Coordinate staff, clinicians, reception and dental assistants.

- Maintain efficient workflows and help improve practice systems and procedures.

- Organise staff meetings, training sessions and practice activities.

- Monitor daily tasks and ensure responsibilities are completed.

- Assist with practice policies, documentation, compliance and administration.

- Coordinate suppliers, stock ordering, equipment maintenance and general practice requirements.

Reception & Patient Coordination

- Be confident working at reception when required.

- Answer telephone calls and manage patient enquiries.

- Book, reschedule and confirm appointments.

- Manage patient recalls and follow-ups.

- Assist with treatment coordination and outstanding treatment follow-ups.

- Process payments and support general reception duties.

- Provide a friendly and professional patient experience.

Dental Assisting & Team Training

- Be willing and able to assist clinicians when required.

- Support the training and onboarding of new dental assistants.

- Train team members in practice protocols, workflows and systems.

- Help maintain high standards of infection control, sterilisation and clinical organisation.

- Monitor dental assistant responsibilities and help develop efficient clinical workflows.

Staff & Team Coordination

- Assist with recruitment and onboarding of new employees.

- Coordinate staff rosters and leave where required.

- Support team development and training.

- Encourage a positive, supportive and accountable workplace culture.

- Help identify areas where staff may require additional training or support.

Business Management Software & Client Training

As part of the role,



you will also be involved with our dental business management software platform.

Responsibilities may include:

- Connect with dental practice managers and practice owners using the software.

- Understand how different dental practices operate and manage their day-to-day workflows.

- Conduct software demonstrations and client onboarding.

- Train practice managers and team members on how to use the system effectively.

- Help clients set up workflows, modules and processes within the software.

- Answer client questions and provide ongoing user support.

- Identify problems, workflow gaps and software issues reported by clients.

- Document issues clearly and maintain an organised list of bugs, feature requests and improvement ideas.

- Work with clients to understand the root cause of operational problems.

- Suggest practical solutions to improve workflows.

- Communicate client feedback to the software development team.

- Work closely with developers to explain requirements and expected outcomes.

- Assist with testing new features and software updates before release.

- Provide feedback on usability, workflow and functionality.

- Help create training materials, user guides, videos and support documentation.

- Follow up with clients after implementation to ensure the solution is working effectively.

This part of the role is ideal for someone who enjoys technology, problem-solving, training people and improving business processes.

Events & Community Engagement

- Assist with organising practice events, educational events and community activities.

- Coordinate venues, speakers, suppliers, attendees and event logistics.

- Be comfortable communicating with groups of people.

- Ideally be confident acting as an event moderator or MC, introducing speakers and helping manage event programs.

- Assist with taking photographs and videos during events.

Marketing & Digital Skills

The successful candidate should have good general computer skills and be comfortable learning and using different software platforms.

Experience or confidence with the following would be highly regarded:





- Canva for creating simple marketing materials, flyers and social media content.

- Basic video editing for social media, reels and promotional videos.

- Social media platforms including Facebook and Instagram.

- Microsoft Office and/or Google Workspace.

- Dental practice management software.

- Email marketing and basic digital communication.

- Creating documents, presentations and spreadsheets.

- Learning new software and technology quickly.

About You

We are looking for someone who is:

- Highly organised and able to manage multiple responsibilities.

- Friendly, confident and professional.

- Comfortable communicating with patients, staff, clinicians and external businesses.

- A strong team leader who is also willing to be hands-on.

- Able to work independently and take ownership of responsibilities.

- Good at problem-solving and following through on tasks.

- Comfortable with technology and learning new systems.

- Creative and interested in marketing, events and practice growth.

- Able to train and support new team members.

- Flexible and willing to assist wherever required within the practice.

Previous experience in a dental practice, dental reception, dental assisting or dental practice management would be highly regarded.

Experience as a Dental Practice Manager is preferred; however, we would also consider an experienced Dental Receptionist, Senior Dental Assistant, Treatment Coordinator or Assistant Practice Manager who is ready to take the next step in their career.
