Westminster School has an exciting opportunity for a Daily Organisation and Relief Coordinator to join our School on a part time, permanent basis working 30 hours per week during term time only.

About the role
We are seeking a highly organised and responsive Daily Organisation and Relief Coordinator to manage teacher absences and relief coverage across the School.
Reporting to the Director of Timetable, Planning and Operations, you will be the first point of contact for unplanned teacher absences and will coordinate appropriate coverage for planned and unplanned absences. Working closely with School leaders, teaching staff and Temporary Relief Teachers, you will help maintain continuity of learning and ensure the School day runs smoothly.
The role combines daily scheduling, problem-solving and relationship management. You will coordinate relief arrangements, support the engagement and onboarding of Temporary Relief Teachers, maintain accurate staffing and payroll records, and monitor relief patterns to support effective operational decision-making.
You may also assist with Learning Support Assistant coverage and special timetable arrangements when required.
This is a fast-paced position requiring sound judgement, exceptional attention to detail and the ability to respond calmly and practically when circumstances change at short notice. Some work outside traditional school hours will be required, including early morning availability.
About You
You are a highly capable organiser who enjoys solving problems, working with people and bringing order to a busy and changing environment. You can balance the need to make timely staffing decisions with a respectful and supportive approach to staff.
You will bring:
- Experience in a similar or related role, or familiarity with school administration and daily organisation systems
- A high level of organisational and administrative capability
- The ability to manage competing priorities, analyse information and make sound decisions under time pressure
- Strong attention to detail and accurate record keeping
- Excellent written and verbal communication skills
- Well-developed interpersonal, consultation and negotiation skills
- Confidence working independently, using initiative and meeting deadlines
- Proficiency in Microsoft Word,
Excel and PowerPoint
- The ability to build effective relationships with teaching staff, School leaders and relief teachers
- A proactive and practical approach to resolving issues
- Current teacher registration, if applying through the teaching employment pathway.
Experience using the Timetabler suite, particularly the Daily Organiser module, or an equivalent scheduling system would be highly regarded. Experience with Synergetic or a similar information management system would also be advantageous.
