As our ICT Team Coordinator, you’ll provide executive, administrative and coordination support to the Chief Information Officer and ICT leadership team. You’ll help keep schedules, meetings and communications on track, prepare key documentation and support the day-to-day running of the team.
Procurement and financial administration are also an important part of this role. Working closely with our ICT Commercial Manager, Finance, Accounts Payable and suppliers, you’ll coordinate purchasing and payment processes, maintain accurate records and ensure approvals and deadlines are met.

Your Impact:
* Provide executive support to the CIO, including diary management, correspondence, meetings, travel and expense coordination.
* Prepare and collate reports, presentations, agendas and governance papers, take accurate meeting minutes and coordinate timely contributions from the team.
* Coordinate team communications, workshops and recognition activities, and support recruitment administration and onboarding.
* Support procurement processes, including new vendor requests, changes to vendor financial details and purchase order preparation.
* Coordinate invoice processing, matching and receipting, ensuring supporting documents, approvals and financial coding are accurate.
* Work with suppliers, Finance and Accounts Payable to resolve invoice issues and follow up outstanding payments, purchase orders and approvals.
* Reconcile and code corporate credit card transactions, maintain financial and audit records, and support month-end and year-end processes.
* Contribute to ICT projects and business improvements while building robust relationships across the organisation.

You’ll bring to the table:
* Proven experience in a fast-paced administration, executive support or team coordination role.
* Experience managing purchase orders, invoice processing, accounts payable coordination and financial administration.
* Confidence maintaining financial records, coding expenses and monitoring transactions.
* Experience working with procurement processes, vendor administration and financial systems.
* Excellent organisational skills and attention to detail, with the ability to manage competing deadlines calmly.
* Strong communication skills and confidence working with stakeholders at all levels.
* Advanced skills in Microsoft Teams, Word,
Excel and PowerPoint, along with experience coordinating large meetings, taking minutes and preparing presentations.
* Sound business judgement and discretion when handling confidential information and financial matters.
* Current QLD Working with Children Check
* Willing to obtain a Certificate of Completion for the National Child Safety Foundation Training, completed via Geccko platform
