As an Office Administrator, you will manage front-of-house operations and provide high-quality administrative support to the executive team and wider business. You will be responsible for welcoming clients and visitors, managing incoming calls and general enquiries, coordinating meeting rooms and supporting the efficient day-to-day operation of the office. You will also provide administrative assistance to the Executive Assistant, senior executives and other departments as required. This is a full-time, office-based position, operating from Monday to Friday, 8:00am to 5:00pm.
Key responsibilities
- Greet clients and visitors in a skilled, friendly and welcoming manner
- Answer and direct incoming telephone calls
- Manage the general administration email inbox and respond to enquiries professionally
- Maintain the presentation and organisation of the reception area, kitchens, meeting rooms, storage areas and office cupboards
- Coordinate meeting room bookings, room set-up and the maintenance of meeting room IT equipment
- Collect and process incoming and outgoing mail and courier deliveries
- Provide calendar coordination and ad hoc administrative support to the Executive Assistant and senior executives
- Manage office supplies, including stationery, kitchen supplies,
printers and toner
- Conduct regular stocktakes and arrange replenishment when required
- Coordinate with the nominated IT provider under the direction of the People and Culture Team.
About you
- Two to three years' experience in reception, office administration or a similar position
- Previous experience in a professional or corporate environment
- Intermediate proficiency in Microsoft Word, Excel and Outlook
- Excellent customer service skills and a professional telephone manner
- Strong written and verbal communication skills
- Excellent organisational and time-management capabilities
- The ability to manage multiple priorities and remain composed under pressure
- A proactive, enthusiastic and collaborative approach
- Professional presentation and strong attention to detail
- The maturity and initiative to work independently
