As Benmax increases production, the volume of purchase orders, acknowledgements, receipts and item data across our procurement function is growing rapidly. We have created a new position to take ownership of this transactional work and ensure the accuracy of the data our buyers, planners and inventory team depend on.

About the role

Reporting to the Head of Procurement, the PO / Product Data Officer is responsible for end-to-end purchase order administration and the accuracy of item and product data within our ERP. You will work closely with the Buyer, finance, receiving and engineering teams, operating within the master data standards and change control processes established by the business.

Key responsibilities

- Administer purchase orders from start to finish, including raising orders from approved requisitions, issuing orders, recording acknowledgements, maintaining confirmed dates and closing out
- Follow up overdue acknowledgements and confirmations to ensure buyers and planners have reliable delivery dates
- Maintain item master data, including part numbers, descriptions, suppliers, pricing, lead times and units of measure, in line with master data standards
- Process item and BOM updates arising from engineering changes, in accordance with the change control process
- Support the three-way match process by resolving purchase order, receipt and invoice discrepancies with finance and receiving




- Ensure purchasing transactions post correctly to the inventory ledger
- Prepare routine purchasing reports, including open orders, overdue confirmations and price variances
- Document purchase order administration procedures as they are established

Skills and experience

Essential:

- Experience in purchasing administration, order processing or a similar transactional role
- Experience maintaining accurate data within an ERP or business system
- Demonstrated accuracy and follow-through when managing a high volume of transactions
- Well-developed technology skills, including ERP transaction processing
- A methodical and organised approach, with the ability to keep work current under pressure
- Explicit and professional written communication skills

Desirable:

- Experience in a manufacturing, engineering or BOM-driven environment
- Experience supporting three-way matching with finance
- Experience documenting administrative procedures
- Qualifications in business administration, supply chain or a related discipline
