Job Description
All Data and Communications - Port Of Brisbane QLD
Reporting to the State Manager, with close support from the CFO, and working day-to-day alongside Project Managers, you'll be the administrative backbone of project delivery.
You'll look after the contracts, claims, procurement, QA and compliance administration that keeps projects on track – so PMs can stay focused on delivery.
This is a hands-on, full-time role (38 hours per week), predominantly based at the Port of Brisbane site office, with the flexibility to visit the Northside office as needed.
Key responsibilities
Setting up jobs and quotes in simPRO with the correct client, cost centre, scope and filing structure
Preparing and submitting progress claims, invoices and retention claims – including statutory declarations and supporting certificates
Managing RFIs, variations and contract correspondence, and keeping registers and trackers current
Raising purchase orders and work orders, and receipting supplier invoices against them
Comparing supplier pricing and ordering materials as requested by PMs
Reviewing job costs, cost-to-complete and P&L; reports with PMs, and supporting month-end reconciliation to Xero
Checking day works and labour records against the simPRO schedule ahead of payroll
Verifying subcontractor and supplier compliance – licences, SWMS, insurances and inductions – before anyone steps on site or a PO is issued
Coordinating employee and contractor inductions through client systems and portals
Preparing and maintaining ITPs and ITRs, QA reporting and project handover packages
About you
simPRO experience




Administration experience in construction, trades or a related industry
Confidence with contract documentation, progress claims, variations and retentions
Robust Excel skills and a high level of attention to detail and data accuracy
Strong organisation and communication skills – you'll liaise daily with PMs, site crews, subcontractors and clients
Xero or similar accounting software experience (highly regarded)
QA document control (ITPs/ITRs) or WHS compliance administration experience (highly regarded)
Experience with client compliance and induction portals such as HammerTech or CM3 (highly regarded)
A background in electrical, data or communications contracting (highly regarded)
