Job Description

As our project pipeline and portfolio continue to grow, we are looking for a highly organised, proactive Executive Assistant to support a senior executive within our Property & Assets team.
n
This is a genuinely varied role for someone who enjoys being the person who keeps everything moving. No two days will look the same, You could be managing a complex calendar and preparing board papers one day, coordinating project stakeholders the next, or assisting with personal and life administration to make your executive's day run more smoothly.

The Role
n
You will provide high level executive and administrative support across both professional and personal responsibilities, including:
n
Complex calendar, meeting and travel management
n
Coordinating executive communications and correspondence
n
Preparing reports, presentations, board papers and meeting agendas
n
Managing confidential information with professionalism and discretion
n
Assisting with project administration across property and asset portfolios
n
Coordinating consultants, contractors, tenants and key stakeholders
n
Maintaining records, contracts and documentation systems
n
Tracking actions, deadlines and project milestones
n
Supporting budgeting, invoicing and general administration activities
n
Assisting with personal and life administration as required
n
Organising errands, deliveries and personal appointments
n
This role would suit someone who is naturally proactive and enjoys anticipating what needs to be done before being asked.
n
About You
n
We're looking for someone who is highly organised, trustworthy and enjoys working in a fast paced environment.
n
You will ideally have:
n
Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator supporting an executive leader
n
Experience within property, construction, development, infrastructure or a related industry
n
Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel
n
Outstanding organisational and time management abilities
n
Strong written and verbal communication skills
n
Exceptional attention to detail and accuracy
n
The ability to work autonomously and proactively
n
Professionalism, maturity and sound judgement
n
A collaborative, positive and approachable personality
n
The confidence to take ownership and make things happen
n
Most importantly, you'll be someone who enjoys building strong working relationships and being a trusted right-hand person.
