About the Role
n
We are seeking a warm, exceptionally organised, and detail-driven Wedding & Events Coordinator to deliver unforgettable celebrations at Kooroomba Vineyard & Lavender Farm. In this role, you will guide couples from their initial site visit through to day-of coordination, ensuring their ceremony and reception run seamlessly against our stunning mountain range back drop.

Key Responsibilities

Conduct prospective couple viewings, manage booking enquiries and guide couples through food menus, beverage packages and styling choices.
n
Develop precise run sheets, floor plans, and dietary briefs for distribution to the kitchen and service teams.
n
Oversee day-of coordination: cue ceremonies, direct bridal parties, greet guests, and manage real-time schedule adjustments calmly and decisively.



Ensure run sheets and timing are followed.

Act as the lead site contact for external vendors (photographers, florists, musicians, celebrants, hire companies), managing arrivals and bump-in/out logistics.
n
Collaborate closely with venue managers, the head chef, and front-of-house staff to ensure smooth execution throughout every service.

Skills & Experience
n
n
Prior experience in wedding coordination, event planning, or premium hospitality service
n
Solid interpersonal skills with the natural empathy needed to reassure couples and families under pressure.
n
Exceptional administrative skills, time management and multi-tasking ability.
n
Composed, practical problem-solving ability in high-energy event environments.
n
Current Queensland Responsible Service of Alcohol (RSA) certificate (or willingness to obtain before commencing).
n
Valid driver's licence and reliable transport (essential due to our regional location).
n
Flexibility to work seasonally with weekends and evening shifts required. No public holidays required, with the venue closed over the Easter and Christmas holiday period.
