This is a Permanent Full-time position. Monday to Friday schedule. 2x roles: 1x based in Kogarah & 1x based in Alexandria.

Role
n
As the Patient Services & Administration Coordinator, you will be one of the key non-clinical points of contact for patients, supporting them throughout their treatment journey and ensuring they feel welcomed, informed and cared for. This is a varied, people-focused role combining customer service, administration, appointment coordination and patient support. You'll communicate with patients face-to-face, over the phone and via email while working closely with specialists, nurses and internal teams to ensure a seamless patient experience.

This would suit someone coming from medical administration, patient services, customer service, qualified services or another high-touch service environment who is organised, empathetic and confident managing sensitive conversations.

Key Responsibilities
n
n
Act as a key point of contact for patients throughout their treatment journey, providing warm, professional and empathetic support.
n
Coordinate patient registrations, appointments, calendars and administrative requirements.
n
Respond to patient enquiries across phone, email and face-to-face channels.
n
Liaise closely with specialists, nurses, counsellors,
finance and other internal teams to coordinate patient requirements.
n
Maintain accurate patient information, documentation and records while ensuring confidentiality at all times.
n
Discuss treatment costs with patients and assist with processing payments and associated documentation.
n
Coordinate referrals and documentation relating to Medicare and other billing requirements.
n
Ensure pre-treatment administrative requirements and documentation are completed within required timeframes.
n
Provide an exceptional concierge-style experience to patients attending the clinic.

Requirements
n
n
Previous experience in a customer-facing administration, coordination or patient services role within a fast-paced environment.
n
Healthcare, medical reception, allied health or specialist practice experience would be highly regarded, but is not essential.
n
Strong administration skills including appointment scheduling, data entry and document management.
n
Confident communicating with customers/patients both over the phone and face-to-face.
n
Excellent interpersonal skills with a genuine passion for delivering an exceptional customer experience.
n
High level of empathy, emotional intelligence and discretion when dealing with sensitive or personal information.
n
Strong attention to detail and the ability to juggle competing priorities in a busy environment.
n
Experience using patient management systems, electronic medical records or similar CRM/database systems would be advantageous.
n
Knowledge of Medicare/PBS processes would also be advantageous but is not essential.
n
Positive, proactive and collaborative approach with the ability to remain calm and professional in sensitive situations.
