Job Description
Apax Stone Projects is seeking an experienced Office Manager to manage and coordinate the administrative operations of our Cairns office.
n
Apax Stone Projects provides qualified construction and tiling services throughout Queensland, specialising in swimming pools, outdoor tiling, paving, stone installation and associated construction works.
n
As our Cairns and Far North Queensland operations continue to grow, we require an experienced Office Manager to manage the day-to-day administrative functions of our Cairns branch and coordinate support for management, field employees, subcontractors, suppliers and clients.

Position: Office Manager

Employment Type: Permanent Full-Time

Hours: 38 hours per week
n
Salary: $85,000 per annum + superannuation
n
Key Responsibilities
n
n
Manage the day-to-day administrative operations of the Cairns office
n
Develop, implement and maintain office systems and administrative procedures
n
Coordinate administrative support for Cairns construction projects and field teams
n
Maintain employee, subcontractor, client and project records
n
Coordinate employee onboarding and employment documentation
n
Maintain timesheet and payroll information for management and accounts
n
Coordinate accounts payable and accounts receivable documentation
n
Maintain records using Xero and company management systems
n
Coordinate supplier and subcontractor documentation
n
Manage office correspondence, telephone and email communications
n
Coordinate project administration and scheduling information
n
Maintain business registers, filing systems and compliance records
n
Monitor office equipment, supplies and administrative requirements
n
Liaise with clients, suppliers, subcontractors and employees
n
Assist management with recruitment and workforce administration
n
Implement and maintain office policies and procedures
n
Prepare operational and administrative reports for management
n
Coordinate meetings, appointments and management schedules
n
Coordinate communication between the Cairns office and company management
n
Monitor administrative workflow and ensure deadlines are met
n
Supervise and coordinate administrative functions as the Cairns operation expands
n

Requirements
n
n
Relevant qualification in business administration, management or a related discipline, or substantial relevant experience
n
Previous experience as an Office Manager or in a comparable administrative management role
n
Strong organisational and administrative management skills
n
Experience implementing and maintaining office procedures
n
Experience maintaining business, employee and project records
n
Experience using Xero or similar accounting software
n
Strong written and verbal communication skills
n
Ability to manage multiple priorities and deadlines
n
Ability to work independently and take responsibility for office operations
n
High level of accuracy and attention to detail
n
Ability to Integrate AI to work
n
Experience within a construction, building, trades or project-based business will be highly regarded.
n

This is a permanent full-time Cairns-based position supporting the continued expansion of the company's
n
Far North Queensland operations.
