Job Description
Accounts Administration Officer – EXEQ Group
n
EXEQ Group is seeking a highly organised and detail-oriented Accounts Administration Officer to support our operations across multiple EXEQ locations, including Toowoomba, Perth, Shepparton, Townsville and others.
n
This is a hands-on accounts and administration role for someone who likes accuracy, organisation and getting things finished. We are open to entry-level but please be ready to WOW us! Otherwise we are looking for someone that knows their way around.
n
You'll be working across a busy national business, so you'll need to be comfortable managing multiple priorities, communicating with different branches and changing gears when something more urgent lands on your desk.
n
What you'll be doing
n
n
Process and manage supplier invoices.
n
Save invoices accurately within OneDrive and enter bills into Xero.
n
Enter import, port and other supplier bills into the accounting system.
n
Monitor and manage the Accounts and EXEQ inboxes.
n
Review receipts and invoices on the dashboard.
n
Update invoices as paid and maintain accurate supporting records.
n
Process retail invoices.
n
Send customer statements and assist with account reconciliations.
n
Notify relevant departments when custom orders have been paid or partially paid.
n
Conduct customer payment follow‐up and collection activities on a fortnightly basis.
n
Review supplier statements at the beginning of each month and identify discrepancies.
n
Assist with daily banking and post office activities.
n
Collect and distribute mail twice weekly.
n
Provide general administrative support to Finance and Operations.
n

Records & Administration
n
n
Maintain accurate digital filing systems using OneDrive and SharePoint.
n
Enter and file collected invoices in SharePoint.
n
Scan and upload supplier bills and supporting documentation.
n
Scan, record and update yard fuel receipts.
n
Maintain organised records in accordance with EXEQ procedures.
n
Assist with reporting, spreadsheets and other administrative requirements as needed.
n

Customer Service
n
n
Answer, screen and forward incoming calls.
n
Assist customers and suppliers professionally and promptly.
n
Direct enquiries to the appropriate person or department.
n
n
About you
n
You'll ideally have:
n
n
Accounts administration, bookkeeping or finance administration experience.
n
Strong data-entry skills and excellent accuracy.
n
Experience with Xero or another accounting system.
n
Confidence using Microsoft Outlook, Excel, OneDrive and SharePoint.
n
Strong organisational skills.
n
The ability to manage multiple tasks and deadlines.
n
Confidence communicating with people across different branches and departments.
n
The ability to work independently while still being part of a broader team.
n
A practical, helpful approach when priorities change.
n
n
Experience in a multi-site, machinery, transport, agricultural or similar business would be advantageous, but isn't essential.
