Job Description
Based at the head office just south of Cairns, you will be working for a group of businesses that employ over 600 people in a variety of full-time, part-time and casual roles. This is a pivotal role that manages a variety of independent tasks in addition to providing support to the business managers in a range of areas such as contract management, marketing, HR, tenders and general administrative support, with duties varying from day to day depending on the immediate requirements.

Main duties
n
n
Prepare presentation & promotional documents, templates and other marketing collateral
n
Collate information and manage the process fortenders, grant submissions and similar project proposals
n
Coordinate IT and telephony requests - single point liaison with external IT providers re licenses, logins, access levels, etc.
n
Maintain document control registers, IT & telephone registers and similar
n
Maintenance of website updates and social media functionsincluding regular posts
n
Policy and procedure implementation and/or review using a HR subscription service together with researching relevant information if required
n
Preparation of employment contracts & drafting position descriptions
n
Oversee the brand management and document control functions
n
Assist in the onboarding coordination of current employees
n
Manage visa and work permit applications for overseas staff
n
Enter incident reports and safety data into STEMS safety management system
n
Organise safety meetings, take & distribute minutes
n
Assist in contractor management and insurance documentation & claims
n
Occasional booking of freight and similar logistics functions
n
Assist & support the mobilisation of crews to sites including site inductions & ticket renewals
n
Provide general administrative and clerical support
n
Occasional sundry tasks such as collecting the mail, managing walk-ins, undertaking errands (using any available Company vehicle)
n

Skills and Experience
n
n
Exceptional computer skills with solid experience in a range of software packages and web-based programmes such as: Microsoft Office, Adobe Acrobat Pro & Creative Cloud, Canva, Photoshop, Illustrator (or similar), work management software and website CMS software
n
Prior experience in preparing and writing high level business documents
n
Experience in marketing and the use of social media platforms
n
Exposure to website management/editing (Wordpress administration experience an advantage)
n
Fantastic communication skills, both verbal & written
n
Document control experience
n
Exposure to HR functions including employment contracts and associated compliance requirements
n
The ability to use, initiate and maintain a high degree of confidentiality, discretion, and judgement whilst maintaining a strong customer service approach
n
Highly organised with excellent time management skills
n
Able to multitask and appropriately manage conflicting priorities whilst maintaining a high level of accuracy and attention to detail
n
Some contract management experience would be an advantage although not essential
n
Passionate, proactive, reliable & trustworthy
n
Current Driver's License (manual license preferred)
n
n
Days will be Mon - Thurs, hours negotiable with the successful applicant.
n
