Job Description
End Date: 6 months initially, with intention to extend to 18 Months
Daily Schedule & OT estimate: 5 days/week, 8 hours/day
Other responsibilities
Manage complex calendars with a strong understanding of business priorities
Maintain strict confidentiality for sensitive matters
Internal operations & communications
Manage Outlook distribution lists, Teams sites, and SharePoint
Support employee lifecycle processes (onboarding and exits)
Manage purchase and expense processes, ensuring policy compliance
Coordinate vendor and visitor interactions
Manage meeting preparation and follow-ups, including action tracking
Assist with executive visits and ensure effective stakeholder communication
Support team engagement initiatives and morale-building activities
Rhythm of Business (ROB)
Coordinate ROB cadences and planning across stakeholders
Support execution and continuous improvement of ROB processes
Coordinate domestic and international travel logistics
Prepare detailed itineraries to maximize trip effectiveness
Ensure compliance with travel policies and documentation requirements
Candidate Requirements
Skills
Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
Strong ability to work independently and manage one's time.
Strong ability to keep information organized and confidential.
Solid ability in event planning.
Strong leadership and mentoring skills necessary to provide support and constructive performance feedback.
Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
Agility, previous experience from stable roles
fast paced experience - IT experience would be preferable
Skills & Qualifications
Robust communication, organization, and multitasking skills
Ability to work independently and manage time effectively
High level of discretion and confidentiality
Experience in event coordination
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
6+ years of experience, preferably 7-8 years and experienced supporting executives
