THE ROLE
This is a primarily reception-based hybrid role with a meaningful clinical component on the side.
You'll spend around *****% of your time as the operational heartbeat of the practice — managing schedules, supporting the clinical team, staying on top of service agreements, and being the reliable, friendly voice our clients hear first.
We run on Zanda Health for scheduling and billing, so comfort with digital systems isn't optional — it's essential.
The other 30% is out in the community — hands-on work supporting physiotherapists and our multidisciplinary team.
Think motivation, mobility, rehabilitation exercises, and helping clients work towards their goals in home,
gym, and community settings.
The AHA part of the role isn't mandatory, so if you are interested in the reception, but not AHA – don't worry – we are happy to have a chat!
Day to day, you'll:
Manage appointment bookings and service agreements for clients and therapists
Be the first point of contact for clients — phone, email, and in writing
Work confidently across our scheduling and billing software (Zanda Health)
Support therapists with client rehab sessions in home, gym, and community settings
Work with clients across a wide range of ages, abilities, and conditions
Travel to community locations across the Toowoomba region as needed as well as working in a gym setting – we like to mix it up a bit!

WHAT YOU'LL BRING TO THE TEAM
Allied health industry experience — this is essential.
You know the environment, the language, and the pace.
NDIS sector experience — highly regarded.
Familiarity with NDIS systems, plans, and compliance is a strong advantage.
Exceptional communication skills — clear, warm, and professional whether you're on the phone, in a service agreement, or in a client's living room.
Strong tech skills — you're confident and efficient with computers, software, and digital systems.
Zanda Health experience is a bonus, but what matters is that you pick things up quickly and work well in digital environments.
Sharp organisation — you manage your own time, stay across the details, and keep things moving without needing constant prompting.
A genuine passion for people — and a natural ability to make them feel at ease.
Reliable transport for community visits across the Toowoomba region.
A growth mindset — interest in learning, contributing, and continuing to grow professionally.
REQUIREMENTS
Certificate IV in Allied Health Assistance
Minimum 1 year of experience as an Allied Health Assistant or Therapy Assistant
Current Australian Driver License
Reliable personal vehicle
Current NDIS Worker Screening Check
Current Blue Card (Working with Children)
Current First Aid and CPR Certification
Strong compliance mindset — you understand why the boxes need ticking, not just how
Excellent written and verbal communication — across a range of personalities, ages, and abilities
Scheduling experience and a confident, professional phone manner
Ability to work both autonomously and as part of a small collaborative team
Happy to bring a fun, functional approach when working with children — think on your feet, build rapport, and create engagement
