About the role
As a Contracts Administrator, you will play a pivotal role in managing procurement, contract administration, and financial reporting across our healthcare fitout projects.
You will collaborate closely with our Project Managers, Site Supervisors, Directors, subcontractors, and clients to ensure effective commercial control and compliant project delivery from tendering through to project handover.
Key responsibilities
Prepare trade procurement packages, assemble tender documentation, evaluate subcontractor quotes, conduct price comparisons, and issue recommendations for contract awards
Prepare, negotiate, draft, and issue trade subcontracts, purchase orders, and consultancy agreements, ensuring explicit scopes of work and compliance with relevant legal standards
Maintain accurate project cost reports, monitor cash flows, track project budgets, manage variations, and prepare monthly progress claims and forecast reports
Assess and process subcontractor payment claims, variation requests, and extension of time (EOT) claims in accordance with Security of Payment legislation




Maintain up-to-date and organized records of all contract documentation, correspondence, variations, head contract conditions, insurances, and bank guarantees
Assist with preparing progress claim valuations to clients, managing head contract variations, and tracking project financial performance
Ensure subcontractor compliance with licensing, WHS regulations, insurance coverage, and contractual obligations
Administer trade final accounts, oversee retention releases, compile operation and maintenance (O&M;) manuals, and manage defect liability reporting
About you
Proven experience as a Contracts Administrator within the commercial construction or fitout sector
Degree or diploma in Construction Management, Quantity Surveying, Building Studies, or a related discipline
Strong understanding of construction contracts, trade procurement, variations, and Security of Payment legislation
Proficient in construction management software and Microsoft Office Suite with advanced Excel skills preferred
Excellent communication, negotiation, and analytical skills with exceptional attention to detail
High level of commercial acumen and organizational capabilities to manage multiple packages across concurrent projects
