Who is Greenhouse Collective
The Greenhouse Collective is the home team for creatives, designers, and production-focused craftspeople within the Woolworths Group. As part of the Brand and Marketing team, we are a center of creative excellence, powered by a collective of internal team members and agency partners who support the Woolworths Group Brand & Marketing practitioners in applying their craft and capabilities to solve and achieve goals.
What you’ll do
We are looking for a Junior Production Manager to join our creative team. This role sits within the Greenhouse Collective, the internal creative powerhouse of the Woolworths Group. As a Junior Production Manager, you will play a vital role in supporting the Production team across a diverse range of creative delivery teams.
Your primary function is to act as the operational engine of the team, ensuring the smooth, day-to-day execution of creative projects. This is a fast-paced, foundational role focused on driving delivery efficiency through talent and content creator logistics, creative team scheduling, financial administration (POs), and workflow coordination.
Your meticulous attention to detail and proactive coordination will be instrumental in helping the Greenhouse Collective achieve its ambition to be the most insightful and connected creative force in retail.
Key responsibilities include:
- Schedule, allocate, and traffic daily workloads into the Art Directors, Designers, Editing & Production teams, ensuring brief requirements are clear and creative deadlines are realistic.
- Actively track project timelines and milestone delivery, proactively chasing internal and external stakeholders for necessary feedback, asset deliveries,
and final approvals.
- Update and maintain project documentation, trackers, and WIP logs to ensure real-time project statuses are 100% accurate and transparent to all stakeholders.
- Anticipate real or potential future timeline blockers and immediately flag them with your Production Manager with a solution-focused approach.
- Manage the day-to-day relationship and workflow with external photography/production partners (e.g., WPP Production), ensuring shoots are scheduled efficiently and assets are delivered to specification.
- Coordinate logistics for shoots and content creation, including booking freelance talent, agency partners, external crew, and Content Creators (internal & external).
- Assist in preparing essential production documentation, such as call sheets, risk assessments, asset management trackers, and key project tracking numbers.
- Manage project-related financial administration in strict alignment with group procurement guidelines, including raising purchase orders (POs), processing/receipting invoices, and onboarding new suppliers.
- Assist the Production Manager in tracking expenditure and identifying variances against established production budgets.
- Manage essential compliance and administrative closeouts, including CAD submissions, contract/quote tracking, and usage licensing/rights management under the guidance of the Production Manager.
What you’ll bring
- 1–3 years of professional experience as a production coordinator, traffic coordinator, or project manager within a creative agency, internal studio, or fast-paced consumer brand environment.
- A foundational understanding of the end-to-end creative process and post-production pipelines (e.g., content creation, digital design, video formats, and integrated campaigns).
- Exceptional planning and organizational skills, with a high degree of administrative effectiveness and an impeccable eye for detail.
- Strong communication and interpersonal skills, with the ability to work effectively within a creative team environment, navigate diverse personalities, and chase approvals assertively yet constructively.
- Proficiency with industry-standard project management software (e.g.,
Workfront, Asana, Trello) and a proactive interest in exploring emerging technologies and tools to improve production efficiency.
- Optimistic, adaptable, and resilient, with the ability to manage multiple tracking tasks concurrently and maintain focus in a high-volume, fast-paced setting.
Desireable
- Bachelor’s degree in Communications, Media, Marketing, or equivalent working experience.
- Prior experience working within retail, FMCG, or large consumer-facing brands
