Experienced Bookkeeper - Multi-Site Retail Business
Robinsons Bookshop is looking for an experienced, commercially minded Bookkeeper to join our team and take ownership of the day-to-day financial administration of our growing multi-site retail business.
This is not simply a data-entry role .
We are looking for someone who is experienced, organised and financially street-smart - the kind of person who can look at a transaction, reconciliation or report and instinctively recognise when something doesn't quite make sense.
You will be working closely with management across our bookstore operations and will play an significant role in maintaining accurate, timely and reliable financial information.
The Role
This is a permanent part-time position working approximately 20 hours per week, across five days - approximately four hours per day .
Your responsibilities will include:
Daily and weekly bookkeeping across a multi-site retail business
Bank and credit card reconciliations
Accounts payable and supplier reconciliations
Reviewing supplier invoices, credits and payment allocations
Maintaining accurate records within Xero
Investigating discrepancies and resolving reconciliation issues
Preparing and maintaining financial and management spreadsheets
Working extensively with Microsoft Excel
Assisting with cash-flow and working-capital reporting
Supporting month-end accounting processes
Maintaining clean, accurate and well-organised financial records
Liaising with store managers, suppliers and management where information needs to be clarified
Identifying errors, unusual transactions or process weaknesses rather than simply processing what is put in front of you
Helping us continually improve our bookkeeping and financial administration systems
What We're Looking For
We are particularly interested in someone who has spent several years actually doing bookkeeping in a real operating business and understands that things don't always arrive neatly packaged.
You will ideally be:
An experienced Bookkeeper with strong practical accounting knowledge
Highly competent using Xero
Very strong in Microsoft Excel
Comfortable working with formulas, reconciliations, data sets and financial schedules
Exceptionally accurate and organised
Comfortable investigating transactions until the numbers reconcile
Able to recognise when something looks wrong and confident enough to ask questions
Commercially minded and able to understand the story behind the numbers
Able to prioritise your workload without requiring constant supervision
Reliable, accountable and comfortable taking ownership of your work
Confident communicating with managers, suppliers and other team members
Someone who enjoys improving systems rather than simply accepting inefficient processes
Experience within retail, inventory-based businesses or multi-location businesses would be highly regarded.
Excel Skills Matter
Excel is an important part of this position.
We are looking for someone who is genuinely comfortable working in spreadsheets rather than someone who simply lists Excel on their résumé.
You should be confident working with functions such as:
SUMIFS
Filters and data sorting
Basic data analysis and exception reporting
More advanced Excel skills will be highly regarded.
The Person We're Looking For
Technical skills matter, but mindset matters just as much.
We want someone who is practical, curious and street-smart with numbers .
If a supplier account is out by $2,000, you don't simply carry the difference forward - you want to know why.
If a payment has been allocated incorrectly, you follow the trail.
If a spreadsheet doesn't reconcile, you keep working through it until you understand the reason.
And if you see a better way of doing something, we want you to tell us.

Hours
Approximately 20 hours per week
5 days per week × approximately 4 hours per day
The consistency of working across five days is important to us because it allows our financial records, supplier accounts and reconciliations to remain current throughout the week.
