Experienced Personal Assistant - Law Firm
Fixed term 12-month parental leave cover

We are a highly regarded law firm located in Melbourne CBD. We specialise in complex commercial and family wealth disputes, and litigation. The firm is made up of two founding principals, eight lawyers, and four management and administration staff. We have a cohesive, cooperative and supportive culture, and place great importance on finding people who are a strong personal and professional fit for the firm and its team.
THE ROLE
We are seeking a highly organised, motivated and personable Personal Assistant to support one of our two founding principals on a fixed term 12-month parental leave contract. This is a busy, hands-on role supporting the day-to-day running of the principal’s practice, including managing his schedule, coordinating priorities, and helping ensure matters progress smoothly. You will also provide ad-hoc support to our wider team of solicitors, as required.
Your main duties will include:
- Calendar management: Coordinateand manage the principal’s schedule, ensuring all appointments, meetings and deadlines are organised and prioritised efficiently.
- Meeting coordination: Arrange and coordinate meetings, conferences, preparing agendas and taking file notes of client conferences, as required.
- Administrative support: Provide general administrative support, including handling telephone calls, filing emails, printing, scanning and copying, and other administrative tasks as required.
- Communication with clients: Serve as the primary point of contact for internal and external communications on behalf of the principal,
including drafting and responding to emails and other written correspondence.
- Document preparation and collation: Prepare, edit and proofread legal documents and correspondence with a high level of accuracy and attention to detail. Collating briefs to counsel, as required.
- Billing: Assist with monthly billing, including preparing, editing and sending bills, and following up on debtors liaising with the principal in relation to billing requirements, and following up debtors when instructed.
- Client interaction: Liaise with clients and stakeholders, meeting and greeting clients at in office meetings, including preparing tea and coffee, as required.
The role is available from December 2026.
ABOUT YOU
1. A minimum 5 years’ experience working as an Executive Assistant/Personal Assistant in a legal environment or related field.
2. Proficiency in MS Office Suite and legal case management software systems.
3. Excellent organisational and time-management skills with the ability to prioritise effectively and manage competing demands.
4. Strong written and verbal communication skills, with a high level of accuracy and attention to detail.
5. A flexible and collaborative approach to work, and the confidence to use your initiative.
6. Professionalism and discretion when dealing with confidential information.
7. A friendly, personable manner, with the ability to work well in a busy but down to earth office environment.
