Executive Assistant to Executive Director (12-14 month)

The Executive Assistant provides high‑quality professional and business administrative support to the Executive Director, Policy & Advice (PAD), ensuring that the Executive Director is organised, informed and well‑prepared each day. This is a 12-14 month contract with 4 days per week in our Sydney office.
The role also contributes as a member of the PAD Business Management team, fostering a culture of collaboration, continuous improvement and consistent practices across the division. The Executive Assistant operates with a high degree of professionalism, discretion and initiative to support effective decision‑making and seamless divisional operations.
The team
The Policy & Advice (PAD) division is responsible for key stakeholder management and integrated communications to internal and external audiences, as well as providing corporate shared services functions that assist other areas of APRA to achieve its strategic objectives. The division consists of Policy & Advice, Legal Advisory and Enforcement, Crisis Preparedness & Response, and Supervision Transformation & Readiness.
Key responsibilities
- Provide high-quality executive support to the Executive Director, PAD, including diary management, meeting preparation, travel arrangements, briefing preparation and action follow-up to support the effective use of the Executive Director's time;
- Manage and triage communications, correspondence and requests for the Executive Director, identifying priorities, exercising judgement and coordinating timely responses, approvals and sign-offs;
- Act as a trusted point of contact for the Executive Director,
liaising professionally with internal and external stakeholders while maintaining confidentiality and sound judgement;
- Coordinate divisional and branch activities, including meetings, events, huddles, recognition processes and engagement activities, ensuring smooth delivery and clear communication;
- Maintain key business support information and systems, including SharePoint content, group memberships, contact lists, organisational charts and administrative records;
- Support the preparation of reports, presentations, briefing packs and other documentation, ensuring material is accurate, well organised and delivered on time;
- Build effective working relationships across PAD and APRA, promoting collaboration, information sharing and consistent business support practices; and
- Support finance and procurement activities, including purchase orders, invoices, expense coding and record keeping, in line with financial controls.
About you
- Demonstrated experience providing professional executive or senior administrative support, including diary management, correspondence handling, travel arrangements, briefing preparation and action follow-up;
- Proven ability to manage sensitive and confidential information with discretion, integrity and sound judgement;
- Strong organisational and prioritisation skills, with the ability to manage competing deadlines, anticipate issues, resolve routine matters and escalated appropriately;
- Well-developed communication skills, including the ability to draft,
coordinate and share clear information with internal and external stakeholders;
- Strong stakeholder management skills, with the ability to build trusted relationships across senior leaders, EAs, Administration Coordinators and business support teams;
- Demonstrated ability to coordinate divisional meetings, events, activities and logistics, ensuring they are well planned and delivered smoothly;
- Confident using Microsoft 365, SharePoint and other business systems to manage information, records and access;
- Experience supporting finance and procurement tasks, including purchase orders, invoices, expense coding and accurate record keeping; and
- A proactive, service-focused approach, with a commitment to improving ways of working and contributing to a positive team culture.
