As we continue to expand, we are seeking an exceptional Executive Assistant to become a trusted partner to our CEO.

About the Role

This is more than a traditional Executive Assistant position.

We are looking for an experienced professional who thrives on being one step ahead, brings structure to complexity and takes genuine pride in making things happen.

Reporting directly to the CEO, you will play a pivotal role in managing the executive office, protecting the CEO's time and ensuring the organisation's priorities continue to move forward.

You will work closely with our leadership team, Centre Managers and external stakeholders, becoming a trusted point of contact across the business.

From navigating a complex calendar and managing sensitive communications to coordinating interstate travel, company events and business projects, this is a role offering genuine variety, autonomy and exposure to the inner workings of a growing organisation.

Our ideal candidate is someone who can anticipate needs, exercise sound judgement and remain composed when priorities shift. You will be confident making decisions, solving problems independently and knowing when something requires the CEO's attention.

Your Key Responsibilities

- Executive support: Strategically manage the CEO's complex calendar, inbox and competing priorities, ensuring time is allocated effectively and important matters receive the right attention.
- Communication and stakeholder management: Act as a trusted point of contact for the CEO, preparing professional correspondence and liaising with senior leaders, Centre Managers, consultants and external partners.
- Travel and event coordination: Manage detailed travel itineraries, centre visits and interstate arrangements, alongside the planning and delivery of leadership retreats, company events and our annual gala.
- Projects and operations: Coordinate executive meetings, prepare reports and presentations,



track actions and deadlines, and support business initiatives across the organisation.
- Confidentiality and problem-solving: Handle sensitive information with discretion, anticipate challenges and proactively identify solutions that improve the efficiency of the CEO's office.

About You

You are an experienced Executive Assistant who understands that exceptional executive support is about more than organisation. It is about judgement, trust, initiative and knowing how to make an executive's working day more effective.

To succeed in this role, you will bring:

- A minimum of 5 years' experience supporting a CEO or senior executive, ideally within a medium to large organisation.
- Exceptional calendar and inbox management skills, with demonstrated experience coordinating complex travel, events and executive priorities.
- Outstanding written and verbal communication, attention to detail and the confidence to engage with stakeholders at all levels.
- Solid emotional intelligence, discretion and resilience, with the ability to remain calm, adaptable and solutions-focused in a fast-moving environment.
- Advanced proficiency in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint, alongside the ability to work independently and exercise sound judgement.

Experience in Early Childhood Education and Care, or another highly regulated industry, will be highly regarded.

An understanding of business operations, commercial agreements and financial concepts would also be advantageous.

- Competitive salary: $100,000-$110,000 + superannuation, depending on experience.
- Hybrid working: A full-time position based in Melbourne CBD, offering a combination of Head Office, remote working and centre visits.

A few additional things to know:

The role will require occasional travel to our centres across Victoria and South Australia, so flexibility and a willingness to travel are important.

We are ideally seeking someone available to commence in November 2026, allowing for a structured handover with our current Executive Assistant and the opportunity to attend our Head Office retreat and end-of-year gala.

And finally, our Head Office is also home to Jack, our much-loved office cat! You will need to be comfortable sharing your workspace with a friendly feline colleague.
