The role
The Distribution Manager is responsible for the efficient and effective management of all incoming and outgoing correspondence and mail operations within Auto & General.

This role ensures the timely, accurate, and compliant distribution of information to internal stakeholders, customers, and third parties, leading a team of Distribution Administrators and Mailroom Operators to achieve operational excellence and continuous improvement.

What you’ll be doing

- Lead, coach and develop the Distribution team fostering a high-performance and collaborative environment.
- Manage team performance, conduct regular reviews, and identify training and development needs to ensure a skilled and motivated workforce.
- Effectively manage resource allocation and workload within the Distribution team to ensure optimal efficiency and service levels are consistently met.
- Oversee the accurate and timely processing, verification, coding, and allocation of all incoming physical mail, faxes, and digital correspondence to the correct internal departments.
- Ensure efficient handling of Australia Post return mail and other exception mail items, ensuring relevant departments are promptly notified.
- Manage the external parcel postage of customer Marketing materials and other critical documents.
- Direct the high-volume dispatch of external mail items to customers and third parties, ensuring strict adherence to statutory, contractual, and service level agreements.
- Oversee the organisation, management, and tracking of all printing and mailing documentation and dispatches, ensuring accurate record-keeping.
- Monitor and manage the performance of mailroom and distribution technology (e.g., sorting machines, printers, digital mail systems), ensuring optimal functionality and proactively troubleshooting any issues.
- Identify, recommend, and implement process improvements and automation opportunities to enhance the efficiency, accuracy, and timeliness of distribution operations.
- Collaborate effectively with internal departments to understand their distribution needs and ensure seamless service delivery.
- Manage relationships with external vendors, such as Australia Post and mailroom technology providers, to ensure service quality, cost-effectiveness,



and adherence to contractual terms.
- Develop, monitor, and report on key performance indicators (KPIs) for distribution operations, identifying trends, areas for improvement, and successes.
- Provide regular updates to senior management on operational performance, challenges, and strategic initiatives within the distribution function.
- Identify and report potential risks or inadequate controls related to compliance or operational risks.
- Champion a culture of risk and compliance across the division
- Maintain awareness, understanding and compliance with Company policies and procedures, including the on-time completion of mandatory training.

- Demonstrated ability to lead, motivate, coach, and develop a team to achieve high performance.
- Excellent organisational, time management, and task prioritisation skills, with a keen eye for detail.
- Proactive, solution-oriented approach with a strong focus on continuous improvement and operational excellence.
- Exceptional communication, interpersonal, and stakeholder management skills, with the ability to influence and collaborate effectively.
- Demonstrated ability to identify, assess, and mitigate operational and compliance risks.
- Proficiency in using relevant office software (e.g., Microsoft Office Suite) and distribution management systems.
- Ability to adapt to change and thrive in a fast-paced, evolving operational environment.
