Project Administrator – Maternity Leave Cover

Join Earthtrack Solutions on a 6–9-month maternity leave contract commencing in November 2026
Earthtrack Solutions specialises in the planning, management and execution of maintenance, shutdowns and capital works. We provide rail network maintenance to key clients across Australia, delivering planned and preventative maintenance, as well as major shutdown and closeout works. Our capabilities include the use of a fleet of owned and operated rail maintenance equipment across on-track and mobile plant.
Due to an upcoming maternity leave period, we are seeking an experienced and organised Project Administrator to join our team on a 6–9 month basis commencing in November 2026.
This is an excellent opportunity for someone who enjoys a varied administration role, working closely with project teams, clients and suppliers in a fast-paced environment.
About the role
Working with Earthtrack, you will gain exposure to a wide variety of projects and challenges while supporting the successful delivery of our works. You will work closely with the Project Manager, Operations Team and HSEQ Officer to ensure projects are well coordinated and administratively supported from beginning to end.
Key responsibilities include:
- Coordinate administrative requirements and assist with project set-up from beginning to end
- Maintain and complete accurate records across multiple projects
- Liaise with internal stakeholders, clients and suppliers daily
- Provide administrative support to the Project Manager, Operations Team and HSEQ Officer
- Assist with project documentation, reporting and correspondence
- Manage invoicing, payment schedules, variations,
EOTs and RFIs
- Assist with general project and office administration as required
- Ensure project records and documentation are maintained accurately and efficiently
About you
We are looking for someone who is organised, proactive and confident working independently while also being an integral part of a team.
You will ideally have:
- Demonstrated understanding of the project lifecycle and delivery phases
- Excellent relationship-building skills and the ability to communicate effectively with internal and external stakeholders at all levels
- High-level customer service skills
- Strong communication and negotiation skills
- Excellent organisational and time-management skills
- High attention to detail
- Ability to work autonomously and manage competing priorities
- Ability to work effectively within a team environment
- Initiative and a proactive approach to your work
- Advanced Microsoft Project, Word and Excel skills
- Business administration/construction qualification or demonstrated relevant experience
- Previous experience in project administration, construction, infrastructure or a similar environment will be highly regarded
