Join MS Plus and help make a real difference

Are you an organised, people-focused administrator who loves keeping things moving, solving the little details and working off spreadsheets?

At MS Plus, we’re looking for a People & Culture Administration Officer to bring great organisation, friendly service and a can-do approach to our busy People & Culture team.

You’ll play an important part in keeping our employee lifecycle running smoothly, supporting everything from recruitment and onboarding to in-employment changes, payroll-related administration, training, compliance, record maintenance and offboarding. You’ll work closely with employees, managers and the People & Culture team to provide responsive support and ensure processes are accurate, timely and well-coordinated.

This is a full-time, permanent role based in Hawthorn East , perfect for someone who takes pride in accuracy, loves being organised and enjoys making the workday easier for others.

Why you’ll love this role

This is more than an administration role — it’s a chance to use your organisation skills for a purpose that matters, supporting work that helps people living with multiple sclerosis and other neurological conditions live well.

You’ll join a friendly, collaborative People & Culture team where no two days will look the same, you’ll get plenty of variety and your eye for detail, tenacious follow-through and improvement ideas will be a great asset. You will be very busy in our small team, but we also like a good laugh too.

What you’ll be doing

Ensuring the employee lifecycle run smoothly, from recruitment and onboarding through to in-employment changes, induction and offboarding.

Creating polished employment documents, offer packs, correspondence and onboarding materials that are accurate, clear and ready to go.

Coordinating the important behind-the-scenes details, including pre-employment checks, mandatory training, employee activities and annual programs such as flu vaccinations.

Keeping HR systems, learning platforms, trackers, registers and employee records organised, accurate and up to date.

Being a quality and compliance champion by checking information, spotting gaps, fixing errors and escalating issues before they become headaches.

Preparing routine and ad hoc reports, including payroll updates, training completion data and people-related activity reports.

Being a first point of contact for employees, managers, candidates and payroll-related enquiries, making sure requests are recorded, followed up and resolved.

Pitching in with rostered reception support, welcoming visitors and directing calls and enquiries to the right place, usually once a week for up to an hour a day.

Jumping in during busy periods with audit preparation, mail merges, mail outs, data entry and general People & Culture administration.

Bringing fresh ideas, practical improvements and a positive attitude to create a great employee experience.

What you’ll bring

Experience in business administration, recruitment administration, employee lifecycle administration and/or a busy business support role.

Confidence using Microsoft Office, with a knack for keeping spreadsheets, records, templates, trackers and correspondence tidy and accurate.

Outstanding organisation skills, with the ability to juggle competing priorities, plan ahead and meet agreed deadlines.

A sharp eye for detail and pride in entering, checking and maintaining information correctly.

Clear written and verbal communication skills, along with a friendly, responsive and customer-focused approach.

Confidence following procedures, spotting missing information or errors, solving routine admin hiccups and knowing when to escape.

A flexible working style, with the ability to work independently and as part of a supportive team; and to alter priorities quickly.

Persistence and follow-through to chase up outstanding information, documents and actions.

Initiative and a continuous improvement mindset, with ideas for making systems, processes and everyday admin easier.

Experience using HR, payroll or learning management systems such as MicrOpay, employee self-serve systems, or similar.

An understanding of HR administration, employee lifecycle documentation, employment legislation, privacy obligations and record-keeping requirements.

Exposure to Awards, pre-employment checks and employment contract administration.

Experience supporting quality, compliance and accreditation activities in disability, community services, aged care or NDIS-related environments.

What we offer

Competitive salary and full-time, permanent employment.

Salary packaging: $15,900 of your base salary tax free and up to $2,650 for meals and entertainment.

Flexible working arrangements, with a hybrid model: 2 days working from home and 3 days in-office from our Hawthorn East office.

Learning and development opportunities to support your career growth.

Employee Assistance Program, birthday leave, paid parental leave, gym membership benefits and discounted private health insurance.

The opportunity to work with a collaborative and purpose-driven team contributing to meaningful outcomes for people affected by MS and other neurological conditions.

One more thing

Successful candidates will need to complete a police check, a NDIS Worker Check and a Working with Children Check.
