We are now seeking a highly organized, detail-oriented and reliable Compliance & Administration Officer to join our team.

We are now seeking a highly organized, detail-oriented and reliable Compliance & Administration Officer to join our team.

About the Role

Reporting to the Legal & Compliance Manager, the Compliance & Administration Officer will provide administrative and coordination support across the company’s legal, compliance and documentation functions.

This role is ideal for someone who is highly organised, careful with details, reliable with documents and comfortable managing multiple records, deadlines and follow-ups .

You will help maintain accurate and well-organised records, including contracts, policies, compliance documents, leases and other significant company documentation.

This is an administration and coordination-focused position. Legal advice, contract interpretation, negotiation, risk decisions and formal approvals will remain the responsibility of the Legal & Compliance Manager and relevant legal advisers.

Key Responsibilities

Document & Records Administration

- Maintain organised and accurate records of company documents, contracts,



policies and supporting documentation.

- File and manage documents in a clear and consistent manner.

- Ensure documents are complete, correctly named, up to date and easily retrievable.

- Track document status, approvals, renewals and key dates.

- Assist with document preparation, formatting, filing and distribution.

- Follow up with internal teams to collect outstanding documents and information.

Compliance Administration

- Maintain compliance registers and supporting records.

- Track key compliance deadlines, renewals and required documentation.

- Follow up with dealerships and internal departments on outstanding actions and documents.

- Maintain action trackers and elevate overdue matters to the Legal & Compliance Manager.

- Assist with compliance reports, audit records and other administrative requirements.

Contract & Lease Administration

- Maintain an organised central repository for contracts and legal documents.

- File executed contracts, supporting documents, correspondence and approvals.

- Maintain contract and lease registers and track key dates.

- Record key lease information, renewal dates, notice deadlines and document status.

- Assist with collecting and organising documents for contract, lease and legal matters.

Coordination & General Administration

- Coordinate information between the Legal & Compliance team, dealership managers and internal departments.

- Support standardised document,



filing and administrative processes across multiple locations.

- Assist with preparing checklists, trackers and templates.

- Support the Legal & Compliance Manager with general administrative and project-related tasks.

What We're Looking For

Required

- Strong administration and document management skills.

- Excellent attention to detail and accuracy.

- Highly organised, reliable and responsible.

- Ability to manage multiple documents, deadlines and follow-up tasks.

- Good written and verbal communication skills.

- Comfortable following up with different teams and stakeholders.

- Proficiency in Microsoft Office, particularly Excel, Word and Outlook.

- Ability to handle confidential and sensitive information professionally.

Highly Regarded

- Previous experience in administration, document control, contract administration, compliance administration, property administration or a similar role .

- Experience handling contracts, policies, procedures or other formal company documentation.

- Experience maintaining registers, trackers or document management systems.

- Experience within automotive, retail, property or a multi-site business environment.

- Qualification in Administration, Business, Law, Compliance or a related discipline.

- Competitive salary of $62,000 – $70,000 + Superannuation .
