Job Description
The role will be primarily to assist and manage the administrative side of the practice, including handling bookings, processing payments, and responding to enquiries. There will also be a range of other tasks that assist in the running of the practice (e.g., file management).

Key responsibilities
n
Greet clients and visitors warmly and professionally.
n
Manage incoming calls, emails, and inquiries, directing them to the appropriate staff.
n
Schedule and confirm appointments, ensuring accuracy in the calendar.
n
Assist clients with the completion of intake forms and paperwork.
n
Provide information about services and practice policies to clients.
n
Ensure client confidentiality is maintained in all communications.
n
Perform data entry and maintain accurate client records in the practice management system (Zanda Health).
n
Handle billing and insurance verification (E.g., NDIS plan, Workers Compensation, BAMH Referrals, Private Health, DVA), including processing payments.
n
Manage office supplies, ensuring the reception area is well stocked and organised.
n




Communicate effectively with psychologists and other staff to coordinate client care.

About you
n
Demonstrated ability to be reliable, organised and punctual with a solid work ethic.
n
Demonstrated ability to build solid rapport with clients in a consistently qualified manner.
n
Excellent written and verbal communication skills.
n
Current Working with Children Clearance and National Police Check required.
n
Familiarity with Zanda Health practice management software and Microsoft office is desirable.
