Our team
The Chief Information and Transformation Officer (CITO) Branch is responsible for driving the organisation’s digital, data, and business transformation agenda. The branch provides strategic leadership and governance for information and communication technology (ICT), data management, security, and enterprise architecture, ensuring systems and platforms are secure, reliable, and aligned with organisational priorities.
The CITO Branch leads the design and delivery of innovative, user-centric digital services while enabling continuous improvement across business processes. It works in partnership with business areas to modernise capabilities, leverage data for decision-making, and embed scalable, future-ready solutions. The branch also fosters a culture of agility, collaboration, and innovation to support sustainable transformation and improved outcomes for stakeholders.
The ICT Service Management section maintains and enhances the operational capability of Geoscience Australia's enterprise ICT. We manage the organisation’s infrastructure, operating environment, software, hardware, networks and end user compute services. Working with our partners, we plan and manage for disaster recovery. We ensure quality of enterprise ICT services, assets, service providers and finances through effective governance, vendor management and oversight.
We are a central point of engagement for stakeholders to align business needs to ICT services and solutions.
The role
The ICT Finance officer is an significant member of the ICT Service Management section, working within a small team to ensure the efficient and effective use of Commonwealth resources.
In this role you will support the Team Lead in the timely processing and tracking of invoices, procurements and contracts relating to ICT branch and enterprise services (e.g. hardware, software, data, cloud and digital products and services). You’ll regularly engage with business areas and external ICT vendors, and have a good understanding of ICT technologies to support procurement and goods receipting activities.
You will work closely with the ICT Vendor Management and ICT Procurement teams to ensure timely sourcing, delivery and oversight of ICT goods and services, including providing administrative and reporting support for governance and operations meetings.
Within your team, you will support financial operation activities including data collection and reporting to inform decision-making and improvements.
In this role you will:
- Undertake processing and checking activities in accordance with established procedures and assist with quality assurance, ensure the accuracy and appropriateness of information related to:
- reviewing quotes
- coordinating the execution of maintenance renewals and work orders
- entering contracts and generating Purchase Orders in the Financial Management and Information System (TechnologyOne)
- certifying and processing invoices for payment
- Assist with the preparation of financial information and the collation of data for reporting, accrual and forecasting purposes.
- Assist with ICT procurement activities including obtaining quotes and supporting approval processes in line with instructions and guidance.
- Support business areas by coordinating documentation for ICT procurement and financial processes.
- Collect and manage data relating to ICT contracts, invoices and arrangements, supporting financial activities (e.g. accruals and forecasting).
- Interact professionally with internal and external stakeholders including business areas that require ICT services as well ICT vendors and resellers, being responsive ensuring resolution of enquiries.
- Manage a team shared mailbox, including accurate record-keeping and filing.
- Prepare correspondence, reports, and internal communication content as required.
- Be resilient and adapt well to changes in work requirements.
- Be committed to delivering quality outcomes.
- Be open to feedback and seek guidance when required.
- Be confident using common Microsoft Office applications and financial management systems.
Required skills, knowledge, experience and/or qualifications
- Excellent communication and consultation skills.
- Awareness of Public Governance, Performance and Accountability Act 2013 and Commonwealth Procurement Rules.
